Position Summary

At Airbus U.S. Space & Defense, Inc. we attribute much of our success to the strength of our marketing team. To build on this momentum, we're searching for a highly qualified trade show and events senior coordinator to work closely with our marketing and communications team, as well as our business development leaders. From day one, this individual will contribute to existing marketing programs, while assisting with the development of new events and initiatives aligned with the company's strategic goals. The ideal candidate is focused on detail and execution of tactics to ensure each event is successful. This candidate has 2 - 4 years of experience managing events, or experience in tradeshows, hospitality industry, or customer service. The trade show and events senior coordinator must be organized with a strong ability to manage input from multiple stakeholders. This individual can handle many diverse projects and event programs, all while meeting tight deadlines to successfully execute each event.

Primary Responsibilities:

Trade Show Event Planning: 40%



  • Coordinate the overall planning and logistics for designated conventions/symposiums, trade shows, and special events where Airbus U.S. Space & Defense is involved.
  • Work under the direction of the Airbus U.S. Director of Marketing & Communications, communications manager and Airbus Americas Head of Trade Shows and Marketing (North America region) to assist with dedicated Airbus U.S. Space & Defense trade show/event assignments.
  • Plan, coordinate, and attend designated trade shows as the primary onsite trade show lead in coordination with Airbus U.S.'s corporate strategy and on-going programs, campaigns, and customer outreach (U.S. Government customers and partners).
  • Plans and assist with all pre-show arrangements under the direction of their manager such as: registration, sponsorship content and deliverables, conference room booking, invitation process, meeting schedule plans, select and organize booth content shipment, request booth services, rentals as necessary, display labor if necessary, booth set-up/tear down, onsite support. Ensure Airbus branding elements are correctly implemented throughout exhibit content.
  • Onsite event support includes oversite of exhibit setup, setup of meeting room and reception desk area, create master trade show booth schedule that can be used by the CEO and all senior Business Develop leads.
  • Setup meeting materials/promo items, setup catering, and clean up following meetings. Interact with customers and program leadership onsite; ensure that Airbus U.S. is properly represented.
  • Assist with pre-planning of customer meeting schedules for trade shows and events, coordinating directly with the business lines and business development staff attending events. Develop email marketing/ event management digital tools to coordinate RSVPs.
  • Assist with social media engagement plan around trade shows with the Marketing Coordinator, Communication Manager, Director of Marketing and Communications.
  • Plan and coordinate designated Airbus U.S. special events assigned such as executive offsite meetings / events, customer receptions (invitations process, logistic planning, collaterals, promotional items, etc.) as needed.


Marketing & Communications Functional Support: 40%



  • Track and maintain marketing material inventory and storage of collateral. Work directly with the Director of Marketing and Communications and communication manager to order dedicated promotional materials and marketing collateral needed for each event, maintain adequate supply of brochures and promotional items.
  • Assist with and process trade show, membership, and sponsorship invoices to ensure timely payment.
  • Coordinate editing of brochures and collateral with Communications managers/ leads and program leads.
  • Interface/coordinate with suppliers, e.g., exhibit house, freight company, and promotional items suppliers.


Budget Management and Scheduling Support: 15%



  • Coordinate development of all trade shows and special events within defined budgets for Airbus U.S. Space & Defense and its divisions and all participating activities.
  • Assist with and draft initial budget tracking sheet and event checklist for each designated trade show or special event. Include all corporate membership and sponsorships to ensure alignment across the company.
  • Work closely with the procurement department representative responsible for the Marcom department activities.
  • Support the Head of North American Trade Shows to provide U.S. Space & Defense team input into the master event trade show and event list.
  • Enter and update the Airbus U.S. Space & Defense master show list in Salesforce.com, Exhibit Day and coordinate input for Airbus Corporate Calendar.


Administrative functional support: 5%



  • Arrange for meeting rooms, catering, and equipment set-up.
  • Complete SSA visit requests for in-person meetings, trade shows, and event activities.
  • Prepare event-related expense reports and reconcile them against corporate credit card.



Qualified Experience / Skills / Training:

Education:



  • Bachelor's degree in communications, Marketing, or Business Administration, Events and Hospitality, or equivalent in experience and relevant education required.


Experience:



  • Two to four years of professional experience, including relevant experience with trade shows/events, customer service, or hospitality required.


Knowledge, Skills, Demonstrated Capabilities:



  • Strong organizational skills.
  • Attention to detail.
  • Event support experience.


Communication Skills (Spoken, Written, Influencing, Presentation, Proficiency in Other Languages):



  • Required: Excellent writing, communication, and presentation skills.
  • Other languages are a plus (Spanish, French, German, etc.)


Technical Systems Proficiency:



  • Proficiency in full Microsoft Office suite and TEAMS, with intermediate or advanced level experience in PowerPoint and Excel
  • Familiarity with Google Suite.
  • Familiarity with digital email marketing tool, event software, and digital survey platforms.
  • Proficiency with social media platforms.
  • Familiarity with design tools like Adobe Creative Cloud or Canva.


Travel Required:



  • Up to 30% Domestic

  • Eligible for employment in the U.S.

  • Interface with Airbus internal stakeholders, vendors and manage deadlines and priorities.

  • Ensure that the trade show preparations and unfolding are successful for Airbus U.S. and its business stakeholders.
  • Direct exposure to Airbus senior leaders and U.S. Government customers. Highly important that this individual demonstrates superior customer experience for both internal and external customers.
  • Marketing events and content generated will make a direct impact on the company by influencing the customer's decision, leading to revenue generation for Airbus U.S.



Nature of Contacts:



  • Interact with Airbus internal stakeholders, and colleagues as well as vendors related to the activities required for the trade shows' planning support.
  • Role includes cursory to involved communication with internal and external parties on a regular basis.



Physical Requirements:



  • Onsite: 70%
  • Vision: able to see and read computer screens and other electronic equipment with screens, able to read documents.
  • Hearing: able to hear to participate in conversations in person and via teleconference or phone and to hear sounds including safety warnings or alarms.
  • Speaking: able to speak in conversations, deliver information, and participate in communications.
  • Equipment Operation (personal computer, telephone, copier, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to operate most office and personal electronic equipment
  • Carrying: able to carry documents, electronic equipment, and/or supplies up to 40lbs/9kg
  • Lifting: able to lift documents, electronic equipment, and/or supplies up to 40lbs/9kg.
  • Pushing / Pulling: able to push/pull items in office areas.
  • Sitting: able to sit for long periods of time in meetings, working on a computer.
  • Squatting / Kneeling: able to occasionally squat or kneel to retrieve or replace items shelved on bottom shelves
  • Standing: able to stand for long periods of time.


Walking: able to walk through office and outside areas including uneven surfaces.
