Position Overview:

As the Coffeehouse Operations Support Coordinator, you are responsible for supporting the Coffeehouse Operations team and the field organization with project planning, documentation, communication and presentation creation. You will collaborate with teams across the organization to identify goals, deliverables, and objectives, ensure that impact and timing is considered and plan for effective delivery. Your role acts as a liaison between our field operators and Support Center, through which you will execute existing processes, identify new opportunities and work cross-functionally to bring solutions to life.

You will collaborate with teams across the organization to ensure that field workload and messaging consistently reflects our strategic priorities and core values. You will be responsible for supporting change management and ensuring effective field activation through the tools, resources and communication vehicles you support.

Core Responsibilities

Communication, Meeting & Calendar Management:

  • Develops annual operating calendar for USR organization, working with partners across the organization to ensure critical field touchpoints and milestones are identified and sequenced appropriately.

  • Responsible for content planning, project management, logistics and execution for all USR-owned calls and select leadership conferences and events

  • Owns calendar logistics and meeting administration, demonstrating agility to make updates throughout the year as business needs change

  • Prepares agendas, takes meeting notes and creates project summaries as requested

  • Works with Director and other key stakeholders to develop strategic internal communication plan to ensure timely and relevant communication to multi-unit leaders and store teams

  • Executes routine and ad hoc push reporting and communication to corporate and field teams

  • Monitors USR inbox and other communication streams; triaging requests, inquiries and issues

  • Proactively seeks opportunities for improvement of operational tools and processes

  • Supports execution of company contests, employee recognition, team meals and other duties as assigned

Project Management:

  • Supports Coffeehouse Operations leaders by managing assigned projects from planning to delivery; utilizing best-in-class tools and processes to plan, monitor and deliver project objectives in accordance with defined timeline, budget and deliverables

  • Tracks progress and communicates status updates effectively; closely monitoring tasks, decisions, deadline completion and risks

  • Communicates clearly and consistently with Director to share success, roadblocks and questions or concerns; surfaces risks and issues in a clear/timely fashion while offering recommendations for risk mitigation or resolution

Skills and Requirements:

  • Ability to prioritize effectively in a fast-paced and sometimes ambiguous environment

  • Proven strong track-record in relationship building; Ability to manage stakeholder expectations and execute appropriately; A creative mind and flexible attitude

  • Excellent initiative as a self-starter; possesses the ability to bring opportunities to life

  • Well-developed writing and communication skills; Goal-oriented and creatively driven

  • Adapts communication style based on the needs of the audience

  • Detail oriented with excellent organizational skills

  • Highly collaborative with the ability to co-create solutions with crossfunctional teams

Qualifications

Required:

  • Prior work experience in a corporate environment

Preferred:

  • Bachelor's degree in business, communications or similar program

  • Project Management and Communications experience

Compensation Range:

$20.82 - $34.96 per hour

*Starting pay is subject to Local and State Minimum Wage regulations.

**Ranges reflect what employer reasonably and in good faith expects to pay for such position.

The physical demands for this position are reaching, lifting up to 50 pounds, sitting, standing, for 4 to 8 hours, bending, and moving intermittently during working hours. These physical demands may be accomplished with or without reasonable accommodations.
