Langley Federal Credit Union is currently hiring for a Full Time Facilities Administrator to work on-site from our Yorktown Branch, located in Yorktown, VA.

Job Summary:

Provides administrative support to the Facilities Department. Coordinates mail room activities to include the Couriers and delivery of all packages internally within Langley and shipping/mailing out to others. The Administrative Specialist will maintain all files for the Facilities Dept vehicles, Langley properties, lease agreements, and expense reporting. Creates purchase orders for recurring and ad-hoc facility needs and serves as the first approver of invoices. Ensures professional communication with all internal and external customers to provide building access and permissions for any preventative or ongoing maintenance to Langley buildings or vehicles. Serves as a Langley Crisis Action Team member, contributing to emergency preparedness and response efforts to safeguard LFCU properties.

Essential Functions, Duties, and Responsibilities:



  • Provides administrative support to the Facilities Management Department, including lease documents and all contract documentation and storage.
  • Coordinates courier and mailroom schedules and provides backup support when necessary.
  • Coordinates distribution of Langley mail, including USPS, UPS, FedEx, etc.
  • Coordinates utility services for branches and foreclosures.
  • Assists Facilities team with expense reporting.
  • Processes inquiries from internal/external customers, vendors, and staff.
  • Administers facilities work order processing and the administration of the entire system.
  • Serve as a liaison to property managers, communicating any facilities-related issues or concerns and ensuring timely resolution.
  • Process purchase orders and provide initial approval for all invoices related to the Facilities Department. Ensure accuracy and compliance with budgetary constraints. Generates various reports and graphs.
  • Assist in budget preparation and monitoring, tracking expenses against allocated budgets, and identifying variances or areas for cost-saving measures. Schedules vendors for preventative maintenance and repair tasks for Langley.
  • Ensures that all vendors' and facilities staff access badges, credit cards, toll, and fuel cards are up to date.
  • Maintains all Fleet Maintenance record-keeping logs, including vehicle service schedules, repairs, and inspections.


Qualifications:



  • Two or more years of experience in an administrative function or equivalent combination of working experience/training required.
