THE POSITION

Are you an ambitious and detail-oriented professional eager to take on a challenging and exciting career? The Department of General Services (DGS) is seeking an Administrative Assistant 1 to serve as a liaison between the Bureau of Vehicle Management (BVM) and other state agencies, commissions, and legislative bodies in support of the Commonwealth's fleet. DESCRIPTION OF WORK

As an Administrative Assistant 1, you will be responsible for making determinations regarding vehicle maintenance and repair while ensuring that proper vehicle operation is followed. Work involves analyzing automotive repair estimates, adjusting pricing to meet contracted rates, and determining best cost savings measures when approving or denying repair or maintenance to the commonwealth's automotive fleet. You will also be responsible for maintaining and coordinating vehicle operations to ensure that all warranty requirements are being followed as well as updating the database with repair information and other required data. Effective communication and a thorough knowledge of procedures is essential as you will be training new drivers regarding the care and operation of vehicles and handling telephone requests, complaints, or inquiries. Additional responsibilities include:

  • Educating vendors on proper BVM policies and procedures
  • Ensuring up to date vehicle records
  • Reviewing 60-day work order reporting to maintain timely payments to vendors
  • Preparing final documents for accounts payable department
  • Completing reports and a variety of vehicle activity forms

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:30 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time, upon successful completion of in-office training. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university or any equivalent combination of experience and training.

Additional Requirements:

  • You must be able to perform essential job functions.

Preferred Qualifications (not required):

  • Automotive experience (examples include: automotive estimating, mechanical work, or experience in an automotive shop environment)
  • Experience with Microsoft Excel (creating: spreadsheets, basic formulas, tracking data, reports, etc.)
  • Strong interpersonal skills
