| Job Summary |
The Payroll Coordinator is responsible for the timely and accurate processing of the student, hourly, and monthly payrolls, ensuring compliance with policies and legal requirements, proactively ensuring a thorough knowledge and understanding of changes to policies, state and federal laws impacting payroll, and making recommendations to improve payroll processes and functions. Maintains confidentiality. |
| Salary Range |
$26.44 - $30.29. This is the expected salary range for this position. The actual salary offered will depend on a candidate's experience and education, and departmental budget. |
| Essential Functions |
- Assist the Payroll Manager with all the processes that are related to payroll, including compiling and entering payroll data to maintain payroll records. Reviews paycheck calculations for accuracy and provides high-level customer service.
- Assists the Payroll Manager to ensure timely and accurate processing of new hires, transfers, promotions, benefit adjustments, and terminations for student, hourly, and monthly payrolls.
- Review timecards for non-exempt staff and student payrolls in the TCP system.
- Monitors and reviews vacation and sick leave accruals for non-exempt employees as needed.
- Use the payroll ticket system to respond to all inquiries regarding payroll-related questions.
- Prepares authorizations for transfer of funds and tax deposits to cover payroll.
- Assist the Payroll Manager in preparing and filing quarterly 941 reports to the Internal Revenue Service, quarterly reports to multiple state jurisdictions, and quarterly wage reports to the Illinois Department of Unemployment Security.
- Assist the Payroll Manager with preparing and distributing the W-2 annually.

| Minimum Qualifications |
- Proficient in Microsoft Office, particularly Excel.
- Solid organizational ability with great attention to detail.
- Possess excellent communication skills (written & verbal)
- High level of integrity.

| Preferred Qualifications |
- Proficiency with Ellucian Colleague or Banner a plus.
- Minimum of 1 year of experience with payroll.

| Working Conditions/Physical Requirements |
The essential functions of this position are primarily performed in an indoor setting with limited exposure to outdoor weather conditions. Work is often sedentary in nature and requires remaining in a stationary position for extended periods. Required abilities include speaking and hearing for in-person and virtual communication, using close and distance vision when reading documents or viewing screens, and performing tasks with repetitive fine motor skills. Work may require occasional lifting, bending, carrying, or otherwise moving objects weighing up to 15 pounds. Qualified applicants who can perform the essential functions of this position with or without reasonable accommodations will be considered. |
