POSITION SUMMARY:
The American Council on Education (ACE) is the major coordinating body for the nation's colleges and universities. Research leads ACE's research, programs, communities, and innovation activities while interacting with more than 900 universities and 2 million learners each year. Learning Evaluations (LE) is a national leader in recognizing and validating learning and competencies to connect post-traditional students, training providers and universities. The Specialist, Evaluations, is responsible for overseeing all preparation functions for evaluation reviews including client services, faculty recruitment, operations, and logistics. The Specialist collaborates with the Senior Specialist to ensure review readiness, review execution and post-review processes are complete. This role works closely with the entire LE team to improve the review experience and support evaluation efforts for many of our workforce training organizations.

ESSENTIAL JOB DUTIES OR TASKS:

Day-to-Day Evaluation Logistics [30%]



  • Coordinates pre-review logistics and communicates with multiple stakeholders to ensure projects are successfully completed within specified deadlines.
  • Prepares internal documents for all types of reviews, to include but not limited to, courses, occupations, credentials, exams, apprenticeships, and program quality.
  • Coordinates activities between the review team and the organizational point-of-contact.
  • Plans review team logistics and ensure compliance of all ACE travel policies, GSA rates and regulations, and monitors flight expenses.
  • Oversees the virtual review portals and loading of academic content for reviews. Identifies any technical challenges, trends, or opportunities.
  • Establishes virtual review space in SharePoint and assists in monitoring online interactions during each review period.
  • Creates and monitors all review week calendar meeting invitations.
  • Actively involved in the review phase functioning as support to the review lead to manage the logistics during the review including, but not limited to monitoring discussions boards, supports faculty debrief/touchpoint meetings, providing guidance to faculty including policy language, depth, scope, and rigor of the evaluation process.
  • Works in concert with the Senior Specialist to become proficient in ACE LE standards and expectations surrounding the review.
  • Integrates additional duties and special projects.
  • As needed, travels with onsite evaluations and maintains compliance to all travel expectations and protocols.



Faculty Recruitment and Support [30%]



  • Assists in recruiting new and returning faculty to serve on reviews.
  • Investigates course content areas to identify faculty with matching qualifications using CIP codes.
  • In collaboration with the review lead, confirms faculty members and other qualified professionals (i.e., industry experts) to serve on review teams using relational databases.
  • In compliance with workflow timeline requirements, transmits faculty Consultant Agreements. Follows up with faculty to ensure the return of all paperwork in accordance with timeline requirements.


Data and Review Integrity [10%]



  • Maintains high standards of data quality and accuracy on departmental reporting mechanisms.
  • Assists with business process documentation, process improvement feedback, and review support resources.
  • Provides feedback on surveys and review experiences.
  • Annotates issues or concerns from the review process including reviewer performance history for future process improvement using departmental reporting mechanisms.
  • Contributes feedback on faculty performance and timely responsiveness to requests.



Client Support [30%]



  • Provides consistent support to clients with their review preparation.
  • Organizes and contributes to resource development to enhance review process for both clients and faculty.
  • For contract clients, coordinates travel requests and approvals in collaboration with the Operations team to ensure fiscal and COR compliance.



EDUCATION/EXPERIENCE/SPECIALIZED KNOWLEDGE AND COMPETENCY REQUIREMENTS:



  • Associate's degree in Instructional Design, Curriculum, Learning Assessment, Education preferred or equivalent and 2+ years of related experience.
  • Demonstrated relationship management, active listening, communication, and project coordination required.
  • Use of learning management systems, SharePoint, and other collaborative technology strongly recommended.
  • Experience with postsecondary education preferred.



WORKING CONDITIONS/PHYSICAL EFFORT:

This is a remote position within the United States only. Must be authorized to work in the United States (unfortunately, we cannot provide visa sponsorship.) 35 hours a week. Eligible states for remote work at ACE include the following:

TARGETED SALARY RANGE: 56,000.00 - 59,000.00
