Your role in our success: This position will perform a vital support role, focused on the handling of the detailed, day-to-day administrative and coordination tasks supporting the IT leadership team and the IT project management team. This position may require occasional additional hours beyond the standard work schedule, including evenings and/or weekends, to meet business needs and fulfill job responsibilities. What you'll be working on:
- Daily Support of IT Leadership and project managers in the tracking, collection, and organization of
department needs, project information, and other assigned duties - Maintaining department documentation, including shared documentation repositories, and ensure
information is up to date to support office and department - Coordinating and scheduling meetings (e.g., kickoffs, status updates, department wide meetings) aiding
in preparing agendas, coordinating logistics, documenting actions and ensuring follow-up as needed - Serve as the primary point of communication between different departments and other stakeholders,
ensuring information flows smoothly and timely to ensure alignment on department needs - Leading office management by coordinating the acquisition of necessary equipment or supplies and
managing logistic for both day-to-day support and larger project functions or events - Assist in the preparation and distribution of regular reports, updates, and dashboards for the IT team
and other stakeholders - Tracking project and department related expenses, managing invoices and purchase orders and flagging
any budget variances to the Director, IT Leader, or applicable project manager - Act as travel coordinator by booking travel as needed for department leadership, project teams, and IT
staff as required - Prepare correspondence, manage schedules/calendars, and take meeting notes as requested
- Act as a liaison between the IT team and other departments to support cross-functional collaboration
and ensure smooth running of shared office space
Who you are:
- High School Diploma, Associate's Degree preferred
- Four years' related experience in project coordination or project support,
preferably in IT - Strong organizational and time management skills
- Excellent verbal and written communication skills
- Excellent customer service skills
- Keen attention to detail skills
- High level of initiative and ability to self-start tasks
- Proficiency in MS Office Suite and project management software
- Ability to collect, analyze summarize and present project data
- Regular Driver's License
