As the Assoc Supervisor Operational Services you will lead, coordinate and perform the daily support operations of a single clinical area. Performs various departmental tasks which may include patient and provider appointment scheduling, patient flow, clinical reception, area ambiance, and clinican support.

Primary Responsibilities:

  • Leads and performs departmental work, filling in for support staff as needed. Ensures appropriate staffing of the department. Understands and achieves a high level of competence in all support staff roles
  • Implement new operational procedures in accordance with established guidelines. Monitors staff understanding of procedures and ensures new procedures are implemented correctly. Provides feedback to management on status of implementation process
  • Acts as primary contact for patient inquiries, problems and complaints. Refers interdepartmental and clinical issues to appropriate resources. Exhibits exemplary patient manner and serves as a role model for support staff
  • Serves as point person for department providers. Escalates issues as needed
  • Monitors appointment schedules for booking accuracy. Processes schedule changes and implement new schedule formats as required. Maintains accurate records of clinician time for statistical purposes
  • Assists in orientation of new providers, including telephone use, appointments and medical records system
  • May collect data for use in the management decision-making process. Completes standard reports required for the management of the unit
  • Assures assigned areas confirm to standards of appearance and that the work and exam rooms are neat, clean, adequately stocked and conform to state and local health standards
  • Coordinates purchasing of supplies and equipment and maintains adequate inventory. Works with Building Services and Purchasing to secure supplies and equipment necessary to operations
  • May assist in the monitoring and management of departmental operating budgets. May monitor budget variances. May be involved in budget development process. May be asked to provide budget reports
  • Interviews, selects, orientates and train employees; prepares and delivers performance reviews. Performs employee disciplinary actions up to and including termination
  • Schedules staff, resolves timesheet and payroll issues for staff
  • Leads up to 10 non-exempt employees, with no team leads
  • Provides direction and support to staff to assure departmental effectiveness and efficiency
  • Ensures that work unit meets performance standards and identifies and recommends solutions to operational barriers
  • Interviewing, selecting, orienting and training employees; planning, assigning, and directing work; evaluating performance; rewarding and disciplining employees; reviewing personnel actions of subordinates and addressing complaints and resolving problems
  • Leads plans, assigns, and directs work of subordinates. Works with supervisor to assure appropriate staff coverage including back-up coverage

Required Qualifications:

  • High School diploma or equivalency certificate (e.g. GED, HiSET, TASC Test) from an accredited institution or governmental uni
  • Advanced Cardiac Life Support (ACLS) may be required based on specialty
  • 3+ years of experience in a medical support role (e.g., medical assistant) in an outpatient facility
  • Knowledge of medical support functions in an ambulatory care setting
  • Proven excellent interpersonal skills
  • Demonstrated ability to interact effectively with patients and medical professionals at all levels
  • Demonstrated ability to work and make decisions in a fast-paced environment

Preferred Qualifications:

  • Associate's Degree
  • American Heart Association Basic Life Support (BLS)

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $20.00 to $35.72 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
