Overview

We are seeking a detail-oriented and reliable Data Entry Specialist to join our Sales Administration team in assisting Business Development Managers and Sales Representatives in processing their contracts. The primary responsibility of this role is to ensure accurate and timely transfer of customer, account, and transactional data between our Customer Relationship Management (CRM) platform and our billing system.

This role is crucial to maintaining the integrity of our data and ensuring a seamless experience for both internal teams and clients. Prior experience with data entry, CRM systems, and billing software is highly desirable.

This position is full-time, on site in our Bethesda office. Hours are Monday - Friday, 8 am - 4 pm.

Responsibilities

  • Accurately enter, update, and validate data from the CRM into the billing system, and vice versa.
  • Audit and verify data for completeness, consistency, and accuracy during the migration process.
  • Identify and flag discrepancies, missing fields, or potential errors for correction or escalation.
  • Maintain confidentiality of sensitive customer and account data.
  • Collaborate with project leads, technical teams, and customer experience to ensure smooth data flow and minimal disruptions.
  • Assist in testing post-migration workflows to ensure systems are aligned and functional.
  • Follow established data management procedures and propose improvements as needed.


Qualifications

  • Proven experience in data entry, database management, or administrative support.
  • Familiarity with CRM systems (e.g., Salesforce, HubSpot) and billing platforms (e.g., QuickBooks, NetSuite, or similar).
  • Strong attention to detail and organizational skills.
  • Basic understanding of data integrity, relational databases, or system integrations is a plus.
  • Proficiency in Microsoft Excel or Google Sheets.
  • Ability to work independently and manage time effectively under tight deadlines.
  • Strong communication skills, both written and verbal.

Preferred Experience:

  • Previous experience working in the access control, security, or technology services industry.
  • Participation in a system migration or software implementation project.
  • Knowledge of data privacy and security practices related to customer records.
