The Testing Specialist provides high-quality, front-line customer service to students, faculty, and community members while ensuring the integrity and smooth operation of all testing services. This position requires strong communication and teamwork skills, a commitment to excellent customer service, and the ability to troubleshoot technical issues in a fast-paced environment. The ideal candidate will demonstrate accuracy, attention to detail, and discretion in handling confidential materials, while contributing to a collaborative, student-centered culture. The Testing Specialist serves as a certified test proctor and is responsible for administering academic, career, and certification assessments-including CLEP exams-in accordance with established procedures and vendor requirements. Essential Functions Testing Operations and Customer Service (60%) Provides a high level of professional customer service, creating a welcoming and supportive testing environment for students, test candidates, faculty, and the public. Communicates clearly and effectively in person, by phone, and through email to assist customers with scheduling, procedures, and general inquiries. Administers and proctors exams in strict compliance with institutional, state, and vendor policies-demonstrating integrity, attention to detail, and accuracy. Ensures all testing records are entered accurately into the database and maintains confidentiality of student and testing information. Opens and prepares the Testing Center daily, ensuring readiness for operations. Collaborates with colleagues and faculty to coordinate testing needs and resolve issues efficiently. Technical Support and Troubleshooting (15%) Provides technical support and troubleshooting to students, faculty, and testing clients related to online testing systems, software, and hardware. Demonstrates proficiency with exam administration software/applications such as ACCUPLACER, CLEP, CELSA, and other platforms. Ensures accurate data entry and reporting, and prepares regular reports, logs, and correspondence related to testing activities. Identifies and communicates technical or procedural issues promptly and collaborates with team members to develop solutions. Administrative and Financial Coordination (15%) Performs front-line administrative support, including answering phones, responding to emails, scheduling appointments, and greeting visitors. Processes payments for testing services accurately and securely, following fiscal procedures. Maintains a well-organized workspace, including electronic and paper files, and ensures supplies are stocked and ready for daily use. Demonstrates strong organizational skills and attention to procedural detail to maintain testing accuracy and accountability. Scheduling, Training, and Collaboration (10%) Coordinates testing schedules, calendars, and appointments to optimize daily operations. Assists in training part-time staff and student workers on testing procedures, software, and customer service standards. Promotes a team-oriented culture, providing mentorship and support to ensure consistent, high-quality service delivery. Participates in team meetings and contributes ideas for process improvements and enhanced service efficiency. Minimum Qualifications Associate's Degree from a regionally accredited institution, and one (1) year full-time of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, customer service, or related student development programs. Or High school diploma/GED from a regionally accredited institution, and three (3) years full-time of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, customer service, or related student development programs. Desired Qualifications A. Demonstrated ability to communicate professionally and effectively with diverse populations B. Proven record of providing exceptional customer service in a high-volume, fast-paced setting C. Demonstrated technical proficiency with exam administration software/applications and the ability to troubleshoot hardware or network issues D. Experience maintaining accuracy and confidentiality in handling testing records and sensitive information E. Fluency in Spanish (verbal and written) F. Strong organizational, time management, and teamwork skills to coordinate multiple priorities and support a collaborative environment Special Working Conditions This position may require flexibility in hours. May require prolonged periods of viewing a computer screen. May be required to lift up to 25 lbs.
