The Medical Office Coordinator manages the clinical operations support team and registration operations, ensuring a smooth transition from when patients are seen by clinical staff to when they leave the clinic. Proactively maintains and manages provider clinic schedules to ensure quality patient care. Supports efforts to provide best patient practices, customer service, training, and support. They will work closely with the Finance Department to develop processes to ensure accurate billing.

Duties & Responsibilities:

SCHEDULE MANAGEMENT
  • Completes daily reviews of provider schedules to proactively manage scheduling errors and make schedule changes to maximize utilization.
  • Handles same-day patient appointment needs and facilitates patient requests for sooner appointments.
  • Schedule staff and allocate resources across hours of operation and sites to maximize patient access, satisfaction, and provider productivity and efficiency within budget guidelines.
  • Under the guidance of the Clinic Director, Clinic Medical Director, or designee performs temporary scheduling template maintenance, including adding, blocking, and/or removing appointment slots and clinic sessions.
  • Coordinates permanent template changes, logs permanent template change requests, and validates new template builds.

POINT PERSON
  • Serves as the first point of contact for the Customer Care Center management team to investigate and implement solutions to patient access issues, escalating to the Clinic Director, Clinic Medical Director, or clinician as needed.
  • Acts as subject matter expert for clinic/department scheduling protocols and shares knowledge with and provides training to the Customer Care Center management team.
  • Supervise clinical and nonclinical support staff.
  • Respond to requests to compile periodic statistical reports for analysis as needed and assist with creating metric dashboards

NETWORKING
  • Develop relationships with the customer care center management team, clinic/department staff, scheduling system, and template build/ maintenance resource(s).
  • Functions as liaison between the clinic and the customer care center.
  • Work with other Dynamic Schedulers and the Customer Care Center management team to share knowledge and best practices.
  • Identifies opportunities and, working with the clinic and departmental leadership, helps implement changes to schedules and provider availability to ensure maximum resource availability matches patient demand by attending mandatory Dynamic Scheduler forums/meetings.

ONGOING TRAINING/QUALITY
  • Ensures scheduling build and appointment scheduling protocols remain current with all clinic/department changes.
  • Provide and conduct competency training programs and supervision for clinical operations support staff to ensure level setting and clear expectations are set.
  • Conduct huddles/meetings with staff as appropriate and round in the patient waiting areas.
  • Oversee and direct the nonclinical operations of the clinic, ensuring accurate, efficient, and quality registration process adherence.

Medical Assistant duties
  • Process referrals: Secure any necessary prior authorizations or approvals from BCBS before the patient undergoes any procedure (request come from specialist office).
  • Track and document: Maintain detailed tracking and documentation of all referrals in the patient's chart.
  • Educate staff: Act as a resource for physicians and their office staff, educating them on the correct referral
  • Participate in interviewing, hiring, training, progressive discipline, dismissals, and performance appraisals of staff members.
  • Supervise clinical operations support staff directly or through appropriate managers.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:


1. Any one or any combination totaling five (5) years (60 months), from the categories below

A. College education with course work in a business medical field such as nursing assistant, medical assistant, or medical secretary and/or business fields such as business, finance, public administration, or social science, as measured by the following conversion table or its proportional equivalent:
  • 30 semester hours equals one (1) year (12 months)
  • Associate's Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)

B. Work experience or ancillary service experience comparable to the Medical Office Specialist level or other positions of comparable responsibility.
