Purpose: The Facilities/Administrative Coordinator will provide operational support to both Administration and Asset Administration. This position will assist with general office tasks and duties to include assisting with mail delivery, recycling, data entry and general office repairs and furniture assembly and moving, as well vehicle tracking, licensing, repairs, warranties and maintenance.
Job Functions:
- Assist with general office duties, to include maintaining and restocking pilot lounge, 2 supply closets and breakroom, mail delivery, sort flight envelopes, recycling, request and send out checks and miscellaneous items to other stations, data entry, general office repairs and furniture assembly and moving office furniture. Pick up meals for meetings and interviews. Maintain supply and distribute all company copy machine toners.
- Coordinate with dealerships and Mgr. Airline Assets on any new vehicle installments. Coordinate and purchase additional parts to be installed on new vehicles, such as tailgates, lights, trailer hitches, etc. Work with various dealerships in Cincinnati and vicinity, and travel there to have additional keys programed for our vehicles. Take vehicles for oil changes. Report and drop off vehicles needing maintenance.
- Coordinate with the BMV on any new vehicle purchased and get the vehicle registered/titled/financed with Accounting. Process through Title Dept/BMV & VIN Verification.
- Maintain and keep on file all ATI vehicle documentation. Keep up to date with tags, plates, titles and registration for all vehicles (as of 3/2023 there are 120 company vehicles) . Maintain all vehicle warranties.
- Service and Key Requests
- Coordinate with all Station Supervisors to make sure all vehicle paperwork is up to date (insurance, tags, etc.)
- Provide Transportation for flight crews. Move aircraft materials. (occasional drive to CVG), transportation for drug testing. Keep track of vehicles and place current insurance, license in/on company vehicles. Maintain cleanliness of vehicles inside and out. Report and drop off vehicles for maintenance.
- Comat packages to various stations and Send FedEx Packages out. Transport records from other departments to ATI every 1-2 weeks.
- Assist in making office supply purchases. Picking up Spiritwear orders when purchased and help with organization. Maintains file of purchases for printing when needed. Set up and tear down for special events. Other duties as assigned.
Position Requirements:
- Minimum of a High School diploma or equivalent.
- Experience with Microsoft Office Excel and Word.
- Ability to prioritize ever changing tasks, based on urgency.
- Working knowledge of BMV functions.
- Must be able to work with multiple departments and members of Management.
- Ability to stand, bend, and reach in sometimes awkward positions; sit for extended periods of time
- Good oral, written, and communication skills
- Work in adverse weather conditions
- 5 years' experience operating a motor vehicle.
- Must be able to work weekends as needed.
- Valid Driver's License
- Mechanical Aptitude, able to use basic hand tools (i.e. assemble furniture)
- Must be a self-starter and able to work independently and be highly organized.
Preferred Job Skills:
- Business related degree.
- Purchasing experience.
Physical Requirements:
- Employees are regularly required to, stand, sit, talk, hear, and use hands and fingers to operate a computer and telephone keyboard.
- Comply with ATI attendance requirements
- Moderate lifting is required
