HERE IS WHAT YOU WILL DO

The Assistant Registrar I will be responsible for managing the day-to-day operations of an enrollment services center at Georgia State University, Perimeter Alpharetta Campus. The selected candidate will supervise staff that provide services in all aspects of enrollment and completing processes from the start of the student's academic career through graduation.

The scope of responsibility will include these specific duties but is not limited to:

  • Responsible for managing the day-to-day operations of an enrollment services center at a perimeter campus. Supervise staff that provide cross-functional services in all aspects of enrollment and completing processes from start of the student's academic career through graduation. Provide advanced level enrollment services such as analyzing student records, answering complex questions, updating records and providing immediate assistance in investigating and resolving problems. The assistant registrar in this position will address specific needs unique to the campus student body and work collaboratively with other student service offices on campus.
  • Meet with customers as needed when referred by Specialist to resolve or investigate more in-depth issues or situations by providing accurate or alternative responses. Provide daily professional customer services to students and parents ensuring that accurate information is disseminated through email, in-person, and phone contacts. *Provide service for those inquiries indicated as "red flag escalation, providing in-depth support for the student. Responsible for knowing all policies and procedures to provide any possible provisions/special accommodations for students.
  • Provide continuous training on enrollment services, primarily concerning registrar related questions and assistance unique to the campus. Organize training with other units. Ensure training is conducted with hands-on real scenarios. Keep the internal knowledge base for staff in enrollment services updated for training purposes and consistency in answers, working closely with student accounts, financial aid, and others in the registrar's office.
  • Establish various schedules, special projects, and community outreach necessary for the optimum operation and exposure for the office. Help with new student orientation, special registrations and coordinate outreach calling campaigns to aid in retention.
  • Facilitate bi-weekly meetings to keep staff updated with training, new policies, procedures, and changes. Meet with staff regularly to keep team moral high and discuss individual goals, and the goals for the Centers team. Also attend professional development training. Maintains materials for use in policy and procedure manuals and training documents.
  • Responsible for setup, maintenance, upgrades, testing training, and use of the CRM system for Enrollment Services. Monitor and provide analysis on the use of the Knowledge base system to ensure areas on campus are providing updated articles as needed. Provide reports on a regular basis and analysis service level needs with the Associate Registrar for continuous improvement. Responsible for work with the Qnomy queuing system for service. Responsible for knowing Ayaya/Cisco phones systems, CMS Supervisor, and NICE query software applications for running reports and monitoring response to meet service level agreements.
  • Screen all applicants, conduct interviews for hiring potential candidates and provide all final interview materials to HR accordingly. Coordinates human resources activities, including: eTIME, performance appraisals, hiring, training new employees, discipline, and resolve conflict. Have knowledge of campus human resources policies, procedures, and employment development opportunities.
