Position Description:

As an Administrative Assistant Sr in Neurosurgery, you will perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures, under general direction.

Primary Functions

  • Anticipate and initiate action regarding administrative functions.
  • Coordinate schedules, meetings, appointments, and travel itineraries and related arrangements. Manage faculty and APP calendars, including meeting coordination, adding clinical responsibilities and call-schedules, and pre-emptively identifying conflicts. Ensure faculty and APPs are apprised of the day's activities and any changes that may occur.
  • Demonstrate proficiency in digital collaboration platforms (e.g., Microsoft 365, Zoom, Teams) to manage complex calendars, create shared materials, and support distributed work.
  • Prepare agendas, presentations, and meeting materials; take and disseminate minutes as needed.
  • Use advanced software functions to create templates, macros, and formatted documents.
  • Compose professional correspondence, including documents containing confidential information.
  • Screen calls and visitors; resolve complex inquiries and triage appropriately.
  • Compile reports using data from multiple sources; support recruitment or onboarding processes as applicable.
  • Process payments, requisitions, and invoices.
  • Perform other miscellaneous administrative duties, such as responding to and triaging emails, distributing and responding to faxed information, and sorting and delivering mail.
  • Assist in training of and act as back-up for other administrative staff.
  • Other duties as assigned.

Knowledge of computers, clerical procedures, customer service standards, collaboration, and information management.

Organization, time management, interpersonal, communication, and problem-solving skills.

M-F 8-4:30



Position Requirements:

Minimum Required Education: High school diploma

Minimum Required Experience: 5 years of experience

Preferred Education: Associate degree

Preferred Experience: Experience in academic medical center, health care, previous experience working with faculty or providers.
