Essential Job Duties |
The primary purpose of this role is to provide comprehensive programmatic, operational, and logistical support for the department's initiatives. This position plays a key role in coordinating events, managing communications, and maintaining organized systems that support the departments mission and strategic priorities. It serves as a point of contact for internal and external stakeholders, ensuring that all programs and engagements run efficiently. The role also supports the day-to-day operations of the department, contributing to a collaborative and effective work environment.
Key Responsibilities:
Program and Event Support
- Assist with planning and organizing workshops, convenings, and other program-related events led by the leadership and Research teams.
- Coordinate event supply orders, printing, and materials.
- Coordinate event logistics such as venue booking, catering, equipment setup, and attendee registration.
- Collaborate with presenters, vendors, and campus partners to ensure events run smoothly and effectively.
- Collect, maintain, analyze, and report data related to program participation and outcomes.
- Assist with notetaking, group facilitation, and AI related functions as needed.
- Administrative and Operational Support
- Administer the organization and scheduling of program events, team meetings, and stakeholder engagements.
- Manage correspondence, maintain organized records, and oversee program databases related to the operations.
- Provide support, including document preparation and filing, greeting visitors, and answering Center phones/voicemail.
- Manage packages/deliveries, inventory, and office supplies.
- Serve as building security liaison.
- Coordinate staff schedules and communications by maintaining weekly work/vacation schedules and managing conference room reservations.
- Gain operational knowledge and the ability to articulate the purpose of the Center including its mission, services, and measures of effectiveness in order to adapt processes, procedures and activities to meet needs

- Knowledge of higher education and precedents affecting programs.

Program Administration - 20%
- Ability to carry out responsibilities under the direction of the Program Manager and Program Director, while maintaining accountability for assigned tasks within defined program areas.
- Ability to make decisions regarding the program expectations and direction to ensure program outcomes and timelines are met.
- Ability to analyze and develop information to monitor and measure work processes that support Elevate's mission
- Skilled in recognizing patterns and shifts within program operations, student services, and engagement efforts, and in offering actionable recommendations that strengthen Elevate's inclusive, person-centered approach
Communication - 20%
- Ability to advise and consult with clients to ensure accuracy of the communication and understanding of the message.
- Ability to place messages in context with the organization's broader business perspective.
Customer Service - 20%
- Ability to engage and act in the best interests of the organization by aligning service delivery with strategic goals and client's needs.
- Maintain professionalism within a student-centered environment, adhering to university guidelines and direction provided by the Program Manager and Director.
- Knowledge of the unique needs of clients and ability to provide responsive services/answers tailored to their requirements.
Operational Support - 20%
- Ability to manage operational activity at the Center with high attention to detail and time management skills.
