Administrative Assistant - 5+ years experience
This is a 6 month (full-time) on-site contract role located in Los Angeles, CA. Summary
This role provides high-level administrative support to senior managers and the broader team, ensuring smooth operations and effective communication across the organization. The Administrative Assistant III acts as a key point of contact for internal and external stakeholders while managing multiple priorities and complex tasks independently. Our Ideal Candidate
5+ years of experience as an administrative assistant or in a similar administrative support role
Passion for supporting teams and enhancing organizational efficiency with a strong foundation in executive-level administrative skills
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and other relevant software, with strong organizational and multitasking abilities
Familiar with calendar management, travel planning, expense reporting, and meeting coordination
Skilled in collaborating with senior managers, cross-functional teams, and external contacts
Able to work independently and manage multiple projects simultaneously
Flexible and adaptable to changing priorities, timelines, and stakeholders
Strong written and verbal communication with exceptional attention to detail
Demonstrates initiative, sound judgment, and professionalism in all interactions
Job Description
In this role, you will provide comprehensive administrative support to senior managers and the broader team. You'll partner with internal teams and external contacts to coordinate meetings, manage schedules, plan complex travel, and ensure timely follow-up on key tasks. This includes:
Scheduling, rescheduling, and prioritizing meetings using discretion and judgment
Coordinating logistics for internal and external meetings, including rooms, equipment, and visitor management
Preparing correspondence, reports, presentations, and other documentation
Managing incoming/outgoing communications, including email, phone calls, and mail
Organizing and maintaining confidential information, records, and databases
Processing expense reports and handling procurement of supplies or equipment
Supporting special projects and continuous process improvements
Acting as the first point of contact for the team, responding to inquiries, and building relationships to facilitate smooth operations
You will also maintain internal tools, resources, and records to support the team's overall efficiency and success. Education and Experience
Bachelor's degree in business, communications, or a related field, or equivalent practical experience
Background in office administration, executive support, or operations
Preferred: experience supporting senior leaders in fast-paced environments

The pay for this W-2 position ranges from $40 - $41.38 per hour.
