Description

We are seeking a proactive and highly organized Group Office Administrator to join the A2G team. This position provides critical administrative, logistical, and operational support to a diverse group of technical professionals advancing key national defense programs. The ideal candidate will be a team-oriented problem solver who enjoys supporting group operations, coordinating events, and contributing to an efficient and positive work environment.

As a Group Administrator you will. . .

Support Hiring and Onboarding
  • Lead the initial stages of the hiring process, including drafting requisitions, coordinating with Talent Services, and scheduling interviews
  • Participate in resume screening discussions with hiring leads and contribute to candidate tag-ups with HR partners.
  • Prepare interview materials and packets, and coordinate public release processes for interview content.
  • Streamline the onboarding process by ensuring clear first-day responsibilities: office setup, key and phone assignments, IT setup, buddy assignment, and orientation coordination with the section supervisor.
  • Track and maintain performance coaching and check-in schedules, proactively coordinating with Section Supervisors/Group Supervisor/Assistant Group Supervisor.
Provide Administrative and Operational Coordination
  • Provide day-to-day office management for the group, ensuring efficient operation of administrative workflows.
  • Manage purchases, property tracking, and coordination with facilities for office moves, including submitting and overseeing move requests, port activations, and mover access.
  • Ensure prompt resolution of trash and surplus items and maintain orderly office and hallway spaces.
  • Support classified and unclassified document handling, and if cleared to TS/SCI, coordinate higher-level review sessions for leadership.
  • Prepare and submit administrative documentation, including travel authorizations, procurement requests, and internal forms.

Lead Group Events and Communication
  • Coordinate group meetings, identify technical presenters, and distribute agendas and summaries.
  • Plan and facilitate group social events-such as lunches, trivia sessions, or holiday gatherings-to foster a positive team culture.
  • Support town hall and review meetings by preparing agendas, slide decks, and logistics.
  • Assist leadership with data calls, internal communications, and sector-level coordination.
Serve as the Group Security Representative:
  • Attend CISSO training and meetings and communicate key points to staff
  • Maintain supplies, cleanliness, and serve as an escort to visitors of a highly classified facility (BLAST)
  • Propose, implement, and continually update effective management processes to streamline group security related needs, including creating and maintaining a classified electronic library and monitoring PDS installations
  • Be available and willing to train to the role of Trusted Agent for downloads from a classified network, as needed
  • Provide new staff members with adequate security support and resources
  • Track and ensure availability of most recent Classification Guides
  • Proactively collaborate with APL and AMDS security representatives in preparation for security inspections.

Qualifications

You meet our minimum qualifications for the job if you have...

  • A high school diploma or equivalent with college coursework.
  • 3+ years of administrative support experience in a professional environment.
  • Excellent organizational and interpersonal skills; ability to prioritize and multitask.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and APL internal systems (preferred).Ability to obtain and maintain a Secret clearance.
  • Are able to obtain an Interim Secret level security clearance by your start date and can ultimately obtain a Secret level clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance.
