Position Highlights

The ALVSCE Administration unit within the Division of Agriculture, Life and Veterinary Sciences, and Cooperative Extension (ALVSCE) of the University of Arizona seeks to fill the role of Administrative Operations Professional II. This full-time position works as a member of the CALES Business Team 4 within Division Business Services supporting Agricultural & Applied Economics and School of Natural Resources & the Environment. The position is focused on contributing to the growth and development of the office and provides support with financial tasks including effective management of day-to-day transactions, financial/data analysis and financial compliance. The successful candidate will have a professional demeanor, proficient customer service skills, and the ability to work successfully within a team.

The Division of ALVSCE is a complex, interdependent state and worldwide enterprise, consisting of Arizona's first college, the College of Agriculture, Life and Environmental Sciences (CALES), the university's statewide Cooperative Extension system, the research-intensive Arizona Experiment Station, and many interdisciplinary centers, labs and institutes. Together, the division delivers 20 undergraduate degrees around the globe, serves communities in all of Arizona's 15 counties, and provides services and programming to tens of thousands each year.

Duties & Responsibilities
  • Lead the development of complex financial reports and communicate information to faculty.
  • Check and analyze financial information and accounting statements so that faculty and PIs have accurate and timely information for making financial decisions.
  • Reconcile various funding sources, including state, local, grant, mission support, service and gift accounts (including UA Foundation).
  • Support the daily operations through review and approval of financial transactions and expenditures such as PCard, reimbursements, purchase orders and requisitions.
  • Support the Business Manager in reviewing accounts to ensure accuracy, proper documentation, and compliance with all pertinent procedures and regulations.
  • Support the Business Manager in developing operational procedures to streamline processes and procedures.
  • Perform a broad scope of accounting and financial activities such as initiating financial transactions, i.e., journal entries, payroll and general expense transfers, reconciliations, requisitions, check requests, and internal billings.

Knowledge, Skills & Abilities:

  • Skilled in using Microsoft Office Suite for document creation, data analysis, and communication.
  • Demonstrated ability to manage multiple accounts, reconcile complex transactions, and prepare accurate financial reports.
  • Ability to communicate effectively with different groups and individuals.
  • Ability to handle confidential and sensitive information.
  • General knowledge and use of accounting principles, theories and concepts.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Three years of relevant work experience is required, or equivalent combination of education and work experience.
Preferred Qualifications
  • Experience working with Sponsored Projects and research post awards.
  • Experience interpreting and applying policies and procedures related to grants, contracts, and/or university business practices.
  • Skilled in using Microsoft Office Suite for document creation, data analysis, and communication.
  • Demonstrated ability to manage multiple accounts, reconcile complex transactions, and prepare accurate financial reports.
