Office Assistant

Department of Family and Support Services

Senior Services

Number of Positions: 1

(additional vacancies possible pending budget approval)

Starting Salary: $41,904

New hires are paid the starting rate. Current employees' pay is determined by their job title and years of service

This position is open to the public and all current City employees covered under the City's collective bargaining agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) - BARGAINING UNITS 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

BID INSTRUCTIONS: To bid on this position, APPLY ON THE BID SITE and:

Essential Duties:

  • Gathers, tabulates and proofreads data for various activity of statistical reports using MS office software.

  • Performs general office duties, using office equipment (i.e., copier, fax, computer, printer).

  • Exercises excellent customer service skills with senior participants.

  • Reviews a variety of documents including applications, requisitions, forms and ledgers for accuracy and completeness.

  • Receives, sorts, mail, batches and files, office records, correspondence, applications and related data.

  • Answers and responds to routine telephone calls or emails (e.g., inquiries about departmental or City programs and services, scheduling of appointments) or refers calls to appropriate department or person.

  • Assists with timekeeping functions (e.g., recording absences, totaling hours worked, maintaining employee time records).

  • Assists Senior Office Assistants in the performance of routine clerical functions, as required.

Qualifications

Minimum Qualifications

Six months of clerical or office assistant work experience; or an equivalent combination of education, training, and experience.

Selection Criteria

This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the interview process will be selected.
