Job Description

MU TITLE: Office Support Assistant III

LOCATION: Wayne County - Greenville, MO

The University of Missouri (MU) Office of Extension and Engagement's distinct land-grant mission is to improve lives, communities and economies by producing relevant, reliable and responsive educational strategies throughout Missouri. This position is to coordinate and provide assistance to regional director, campus and regional faculty and staff, and county extension office support staff in the business and fiscal aspects of the Wayne County Extension Center as well as for the Southeast Regional Director's Office. Independently responsible for receiving, preparing, reconciling, and reporting accounting transactions, including accounts receivable, accounts payables, and income statement reporting on a regular basis for the department, individual programs, and per contracts & grants. In addition, assist in the preparation of budgets, grants, contacts, and logistical coordination of training through both offices.

This is in an in-person position located at the Wayne Extension County Office in Greenville, MO.

ESSENTIAL DUTIES

  • Provides general/routine administrative and office support that includes a broad range of duties.
  • Understands how tasks/activities relate to others on the team and how the team integrates with other related, similar teams
  • Organizes and completes structured assignments according to priorities
  • Recognizes and solves typical problems that occur in own work area without supervisory approval
  • Evaluates and selects solutions from established options/procedures

  • Some lifting of 25-30 pounds is part of the job responsibility. Occasional weekend or evening meetings. Some travel required using personal vehicle to obtain materials for programming or meetings. Use of personal vehicle is reimbursed by the Wayne County Council. Commuting miles (from home to work and work to home) are not reimbursable.

KEY RESPONSIBILITIES

  • Assist in maintaining a clean, professional office. Greet visitors, answer incoming calls, route calls, take messages and respond to general inquiries. Distribution of postal and electronic mail. Provide publications and reference materials for customers. Refer questions to specialists as appropriate.
  • Open and close the office in accordance with established procedures. Maintain an up-to-date county web page. Maintain inventory and as directed by supervisor, order supplies and postage. Maintain the classroom schedule.
  • Assist in training volunteers. Follow best methods for accomplishing tasks and complete all work in a timely manner that promotes a neat, professional image. Maintain paper and electronic files. Maintains information flow and message services with the office.
  • Assist in the entering and review account activities in QuickBooks. Follow established fiscal policy and procedures. Prepare invoices and bills for the County Council and/or Extension Engagement Specialist. Accept payments for courses and services and write receipts. Make deposits. Assist in the process of payroll and corresponding taxes with appropriate tax forms. Assist in completion of year-end close-out and reports.
  • Work as a team member in cooperation with regional faculty, staff, volunteers, and other county office support staff.
  • Responsible for monitoring county extension council business processes, including but not limited to minutes, agendas, membership data, budgets, audits, QuickBooks Pro financial reports, and other reports as requested/required. Assist in producing instructional materials, correspondence, etc. Process bulk mailing and provide delivery to post office. Conduct general clerical, secretarial and office duties as assigned.
  • Assist with correspondence and/or special projects at the regional level to ensure operational efficiency of the regional office.
  • Coordinate regional meeting logistics and ensure all necessary materials are prepared in advance.
  • Assist the regional director and other hiring supervisors in the recruiting, screening, and hiring of new employees.
  • Approval of all regional expenses and purchases.
  • Mentor and coach county secretaries/office support staff in performing their responsibilities related to University of Missouri Extension policies and procedures.

As with all positions, involvement with other duties and responsibilities may be expected in order to support the mission and purpose of MU Extension.

LEADERSHIP RECEIVED AND EXERCISED

This position reports to the Extension Engagement Specialist who oversees the management of the Wayne County Extension Center. Secondary supervision will be provided by the Southeast Regional Director. This position works closely with personnel in fiscal and human resources and will mentor and coach county secretaries/office support staff in performing their responsibilities related to the University of Missouri Extension policy and procedures.

Shift

Monday through Thursday, 9:00 a.m. - 4:00 p.m. (28 hours per week)

Occasional evening and weekend work with minimal travel is required to fulfill assigned responsibilities.

Minimum Qualifications

High School Diploma or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Effective communication skills, customer service relations experience, attention to detail and time management, computer skills with Word, Excel, Access, Outlook and Publisher. Knowledge of QuickBooks or other accounting software experience.

Anticipated Hiring Range

Salary Range: $15.00 - $17.00 per hour
