We have an opportunity at our corporate offices in Chicago for a Programming & Events Specialist II (Hybrid) on our Executive Office team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 days a week in the office.

This position partners and coordinates with key business
units/subject matter experts to initiate opportunities and build event
plans-this includes planning programming, identifying efficiencies with
logistics and processes, and identifying speakers for Thought Leadership events
and other Executive Office events. In collaboration with the CEO's staff, provide
support to the CEO. Provide project coordination support as needed.

RESPONSIBILITIES:

Programming and Events Management

  • Manage several meetings and events, leveraging internal and external experts and resources to develop programming, content, identify space, select speakers, and manage budget.
  • Develop and manage event plans, keeping track of progress, risks, solutions, and enhancements.
  • Collaborate with SME's to create event content and materials.
  • Oversee day-to-day management of vendor partnerships and budgets responsibly.
  • Collaborate with Corporate Services on virtual platforms, hotel and meeting space arrangements.
  • Serve as day-of event coordinator for virtual and in-person events, leading logistics and troubleshooting issues.

CEO Support

  • Collaborate with Executive Office staff to facilitate coordination of the CEO schedule. Review schedule daily with the CEO and COS.
  • Collaborate with SME's and other business units to create meeting materials for the CEO. Ensures CEO is fully briefed for all external meetings.
  • Ensures the CEO/EVP attends scheduled events.

Ad Hoc Project Coordination

  • Maintain project plans, status, and reporting.
  • Create detailed schedules, ensuring proper sequencing of activities and resources to meet required deadlines.
  • Coordinate assignments/milestones and execute in accordance with approved plans and requirements.
  • Ensure deliverables are on time, within budget, and meet quality expectations.

May include other responsibilities as assigned

REQUIREMENTS:

  1. Bachelor's degree required.
  2. 3+ years experience with event or project experience required.
  3. Exposure to C-Suite level individuals preferred.
  4. Demonstrated ability to effectively manage and execute multiple, concurrent projects/events, prioritize work, assignments and maintain a strict budget; ability to handle ambiguity and adapt effectively to changing circumstances.
  5. Experience with event management tools (such as CVENT, Cadmium, Zoom webinar/meetings) and project management tools (such as Asana, Smartsheet, Workfront) preferred.
  6. Excellent written and verbal communication and presentation skills, with proven ability to build and manage relationships and tailor communication style to different audiences and various levels of stakeholder.
  7. Demonstrated ability to work in a team environment as well as work independently; polished interpersonal and consensus-building skills.
  8. Demonstrated ability to maintain a professional and personable demeanor when representing the AMA
  9. Some travel required.

This role is an exempt position, and the salary range for this position is $72,706-$96,390. This is the lowest to highest salary we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration and geographical location, as well as candidate qualifications, such as skills, education, and experience.
