Job Summary

#CA-DS

Under direct supervision, follows current established department procedures and guidelines for performing payroll/personnel record keeping functions and meets Payroll deadlines. Have a clear understanding of collective bargaining agreements, policies and procedures, and applicable governance. Working with attention to detail and with critical review process to avoid errors to accurately process data for payroll for over 18,000 School of Medicine, Primary Care network, and Hospital employees. Strong problem-solving skills, attention to detail, accuracy, and confidentiality, assist employees and departments with questions regarding time and attendance system. Provide customer service for employees related to payroll inquiries. Must have intermediate to advanced system skills and multiple platforms including windows-based, customized applications, PeopleSoft ERP and others as required. Works as a team member by showing initiative cooperation and appropriate escalation of issues by using clear, direct, and timely communication internally and in partnership with other departments. Displays flexibility in adapting to new routines and modifications of work assignments and schedule to meet operational needs. Shares responsibility for vacation coverage, high volume activities, unanticipated overtime, and other payroll needs. Shares information with coworkers to enable Payroll to respond to departmental needs. Performs special projects and other related duties as assigned.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position.

  • High school diploma or equivalent*
  • Previous experience in Payroll or Finance required
  • Knowledge of general accounting principles as they relate to payroll
  • Demonstrated math skills to manually calculate employee checks and audit employee time cards
  • Experience functioning effectively under pressure to meet all required continuous tight deadlines
  • Excellent organizational skills with effective planning and prioritization, and time management
  • Effective data entry skills and computer proficiency
  • Ability to work cooperatively and effectively as a member of a team as well as to work independently to provide consistent service to employees and departments

Preferred Qualifications

  • 1-3 year experience in payroll or finance
  • 2-3 year experience in Payroll or Finance highly preferred
  • Understanding of union contracts and shift differentials preferred. Knowledge of time and attendance systems preferred.

Key Responsibilities

  • 60% - Process Biweekly and Monthly Payroll for School of Medicine, Network and Primary Care Hospital Employees including time and attendance reports, final pay and other reoccurring task.
  • 40% - Customer service, payroll related data reports and other tasks

Department Overview

The Payroll and Finance Systems Department within the Controller's Office plays a vital role in supporting UC Davis Health and campus operations. The department ensures accurate, timely, and compliant payroll processing for a large, diverse workforce while maintaining the stability, integrity, and optimization of enterprise financial and HR systems, including UCPath and Ecotime.

Our team of analysts, auditors, representatives, and systems specialists partners closely with HR, Finance, IT, and operational units to manage payroll cycles, off-cycle payments, and complex union contract requirements; configure and maintain financial applications; and drive process improvements across interconnected platforms.

By integrating payroll operations with financial systems, ensuring compliance with regulatory and policy standards, and advancing system enhancements, the department safeguards operational continuity, mitigates risk, and supports workforce satisfaction-enabling UC Davis Health to achieve its mission with efficiency, transparency, and accountability.
