The previously determined salary for this position is $29.08 - $30.85

This position is located on the Peoria campus 170 miles southwest of Chicago. (On-Site Work - Not Remote).

The University of Illinois College of Medicine Peoria (UICOMP) educates 265 medical students and more than 300 physician residents and fellows annually. Additionally, it provides clinical care to more than 31,000 patients annually and conducts basic science, clinical and outcomes research. UICOMP is a regional campus of the University of Illinois College of Medicine, a part of the University of Illinois Chicago and University of Illinois System. Position Summary

Employees at this level engage in overseeing certain administrative functions of the residency/fellowship program, which are characterized by decision making and responsibility under the oversight and direction of the Program Director(s). Such duties include management/oversight of compliance with ACGME regulations, as well as University and affiliated hospital(s) policies. Job duties are also characterized by high impact activities that can affect more than one department, and institution, and for which errors can have serious consequences.

Duties & Responsibilities

Manages day-to-day operations and exercises decision making as support of Program Director and Program. Serves as a trusted resource for support and collaboration with and for faculty, residents, staff, department, community partners and outside agencies. Represents the Program Director to outside agencies.

Provides programmatic problem solving by assisting in developing initiatives to address weaknesses, scheduling conflicts, and documentation with the specialty. Ensure adequate faculty and resident staffing of clinics and inpatient services as directed by the Residency Program Director. Research's data to suggest and/or implement improvement plans for the program. Works with the Program Director to develop initiatives for the program, faculty, and residents/fellows.

Works to ensure accreditation compliance with all entities associated with the program to include the faculty and residents/fellows. Obtains and maintains required information and documentation for such committees and organizations as the GMEC, ACGME, Sub-specialty boards, IRIS, scholarly activity, alumni, and resident files/portfolios.

Manages resident personal demographic and education data per program requirements and run reports on data using New Innovations. This position exercises extreme confidentiality in regard to all information and data they access.

Supports team building within the program with activities and interactions with residents and faculty. Plans activities outside of the hospital to encourage wellbeing and stress management. Tracks Program expenses related to planned events and activities. Utilizes approved funding provided by GME, hospital and/or department. Maintains required memberships for Program, Program Director and residents/fellows

Ensures Policy compliance and maintenance of program specific curriculum, didactics, and specialty specific handbooks. Utilizes scheduling software to manage calendars, rotation scheduling system, master schedule, and clinic rotations. Manages rotations and Master Schedules for outside rotators and visiting students.

Provides Committee Support by participation, scheduling, recording minutes and distribution of materials. Collects, enters, and tracks personal and educational data to develop summaries and reports for the program and individual participants.

Provides resident support by administration of files and personal data. Acts as a resource, mentor and collaborator for curriculums and projects. Obtains and maintains Resident required documentation such as contracts, license, visa, ECFMG, credentialing, resident files/portfolios, duty hours, procedures, and leave submission. Utilizes Resident Management System, New Innovations, to train residents on the required usage of the system. Manages the records of alumni for verifications of training, graduate surveys, and fundraising purposes.

Coordinates with GME and affiliated institutions for resident/fellow onboarding, orientation, and graduation activities and requirements. Processes all resident contracts and termination. Ensures mandatory compliance and training for participants with rotations, institutional and programmatic policy, duty hours, surveys, leave requests, rotations, health, testing, and medical records compliance.

Alerts the Program Director of sensitive resident issues that may inhibit performance

Manages exam preparation by scheduling, maintaining compliance requirements, and proctoring exams like USMLE or COMLEX, In training, and any subspecialty-required exams. Assists and advises Chief Residents with responsibilities by mentoring and offering non-clinical training as needed.

Tracks Resident Education Allowance and Travel expenses.

Manages recruitment by developing the coordination for materials, communications, logistics, marketing, websites, submission of expenses, and scheduling. Places filters for specific criteria to review and validate candidate eligibility and requirements.
Schedule potential candidates from outside our institution with interest in our program and participate in the candidate interviews. Supports candidate rank meeting for selection of candidates for the NRMP Rank Listing. Utilizes various Systems in support of recruitment such as ERAS, NRMP, FREIDA, and GME TRACK. Assures that all systems are up to date with current information, criteria, and data.

Utilizes Resident/fellow Management System, New Innovations, to manage the assignment, distribution and collection of evaluations on residents/fellows/faculty.
Manage the updating and uploading of goals and objectives for curriculum rotations. Manage reports and milestones data as required by the specialty accreditation body. Coordinates educational rotations by scheduling, development of Program Letters of Agreement with outside institutions, and collection of evaluations.

Assists with the ACGME required Semi AnnualResident Evaluation sessions by collecting data for the evaluations and scheduling them with the Program Director and residents. Assists with Annual Evaluation of Faculty by collecting evaluation data and scheduling reviews. Participate in the Program Evaluation Committee and Clinical Competency Committee by preparing advanced information, distribution of information, support and be an active participant on the committee.

Responsible for the implementation, evaluation and tracking of didactic sessions. Manage education curriculum development, implementation and oversight of distribution. Review the performance indicators for notification to Program Director of low performers.

Acts as a liaison between program and hospital administration.

Ensures Space and equipment needs for the program are appropriate. Coordinates Program events such as graduation, retreats, guest speakers, and special events. Will perform duties listed in lower levels of this classification series.

Performs miscellaneous program specific administrative tasks that may include participate in the maintenance of office calendars, answering phones, and assisting with other related duties as assigned. Oversees all purchasing for the office/program, coordinating with GME and hospital personnel as appropriate.

Minimum Qualifications

  1. High school diploma or equivalent.
  2. Any one or combination totaling four (4) years (48 months), from the categories below:
    1. College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    2. Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems
  3. Work experience totaling one (1) year (12 months) comparable to that gained at the Medical Education Program Specialist level or similar experience within a medical education program.


Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.
