SUMMARY


As a Design Operations Specialist with a focus on Media and Creative Assets, you are a self-directed,


creative problem solver and excellent collaborator. You value open and clear communication and are


comfortable working across teams such as Design, Media Production (Video, Animation, Audio), Editorial,


and Project Management to improve operational efficiency relating to the creation, management, and


delivery of K-12 print and digital product experiences.



This role is responsible for bringing clarity to the ambiguous through knowledge and communication of


design and media production best practices, especially concerning data structuring, data integrity, and


media asset workflows. S/he is a crucial participant in the planning and organization of projects,


particularly regarding ensuring data quality throughout the media asset lifecycle. This detail-oriented self-


starter is skilled and experienced in collaborating with all relevant teams to facilitate seamless execution


and creative excellence.



This role has a particular focus on optimizing media asset workflows, upholding data integrity, ensuring


trackers and tools efficiently feed into the Savvas Content Management System (CMS), and providing


system architecture support within Smartsheet.



RESPONSIBILITIES




  • Lead with empathy to listen and understand pain points, resulting in solutions that meet the team's needs.



  • Develop and communicate best practices around process, documentation, tracking, review, and production to inform project strategy and approach, with a strong emphasis on designing media asset workflows and data structuring for optimal data integrity.



  • Architect and maintain the creative asset tracking workspace within Smartsheet and other related tools, ensuring optimal data flow and integrity for all media types.



  • Ensure the efficient management of all creative media assets within Smartsheet, focusing on proper metadata tagging, version control, and data accuracy throughout their lifecycle.



  • Socialize and evangelize tools and workflows that bring clarity and focus to product vision, especially new solutions for improving data capture and creative efficiency across the media ecosystem.



  • Provide project support to onboard teams and vendors quickly to Savvas tools and processes, with a focus on data capture, metadata accuracy, and workflow adherence for media production.



  • Collaborate cross-functionally to build strong relationships and improve touchpoints between LXD and other teams within the organization, including regular status meetings with video producers and other media creators.



  • Participate and advise on improvement initiatives across Savvas, with an emphasis on innovating and optimizing media production through the strategic integration of emerging technologies, particularly Artificial Intelligence (AI) and workflow automation to enhance data integrity and system efficiency.





SKILLS




  • Strong technical, analytical and organizational skills, specifically around data best practices, data structure, process and workflow optimization, and the architecture of interconnected systems.



  • Demonstrated understanding of Content Management/Media Asset Management system principles and how data feeds into and out of them.



  • Ability to structure ambiguous problems, analyze complex processes, synthesize data and drive towards usable insights and solutions, particularly within creative production data pipelines and asset metadata workflows.



  • Knowledge of Artificial Intelligence (AI) applications and tools as they relate to automated workflows (e.g., metadata tagging, transcription, content analysis) and overall data efficiency within creative production.



  • Proficiency in project management software, particularly Smartsheet.





REQUIREMENTS




  • Minimum BA/BS in a Project Management, Design, Media Production, Library Science, Information Management, or education-related discipline.



  • Broad experience working directly in a high-volume, fast-paced, constantly changing environment ideally within a creative or media production setting.



  • Superior organizational skills with the ability to multitask and manage time



  • Demonstrated experience in project/process management, operations or strategy with specific experience in creative operations or media asset management.



  • Experience managing complex projects through all phases of the project lifecycle to a successful conclusion (on time, on budget, benefits delivered).



  • Demonstrated understanding of how AI capabilities (e.g., automated tagging, transcription, content analysis) can be leveraged within systems to enhance efficiency and discoverability.



  • Familiarity with educational technology and/or publishing is a plus.



  • Smartsheet Certification is a plus.



  • Process Management and/or PMP Certification a plus.
