The Position As an Environment Program Associate you will provide program management support, administrative assistance, research and impact analyses to our Program Managers with a focus on our work to protect the ocean.
Strong written and oral communications, attention to detail, flexibility/adaptability and project management skills are a must. You're a team player who can manage multiple priorities, work with many stakeholders, and thrive in a fast-paced, results-driven environment. The role is based in NYC and will require occasional domestic and international travel.
Essential Duties and Responsibilities
- Provide day-to-day support to the Program Manager(s) including: scheduling meetings, proactively anticipating needs, arranging travel, processing expenses, and managing contacts
- Manage meeting requests, invitations; coordinate scheduling, draft email responses
- Prepare written materials, including one-pagers, memos, briefings, talking points, and presentation slides for senior leadership and partner meetings
- Assist in requests for information from internal stakeholders
- Run weekly check in meetings and manage weekly and monthly goals for projects
- Take notes and send readouts from meetings
- Track and ensure follow up from all meetings and events
- Maintain file and document management/archival system
- Conduct research and analysis
- Develop briefings and updates for leadership on progress and key policy developments
- Track and report progress in target geographies in coordination with grantees, consultants, and other partners
- Leverage quantitative and analytical skills to support data-driven decision-making, including tracking program impact, synthesizing findings, and producing Excel-based summaries or visuals
- Support Program Manager(s) with grants management including due diligence, proposal and budget review, and coordination with grantees on submissions and deadlines
- Provide support for events, media moments, and partner meetings including invite lists, guest correspondence, materials, and preparation
- Field inquiries to appropriate team members, respond to employee and outside inquiries, and ensure timely response to urgent issues
Qualifications of the ideal candidate
- Bachelor's degree with a minimum of 3 years of relevant work experience in a fast-paced, dynamic environment
- Demonstrable passion for environmental and climate-related issues a plus
- Exceptional organization, project management, and time management skills
- Resourceful, motivated, efficient, proactive and detail-oriented
- Experience and capability in effectively managing/coordinating simultaneous projects, and successfully prioritizing multiple tasks with sound judgment, while maintaining attention to detail
- Outstanding interpersonal and communication skills, including demonstrated ability to effectively interface with senior level colleagues, both verbally and written
- Demonstrated ability to leverage emerging technologies to streamline workflows, conduct research, and manage complex information
- Ability and desire to build and maintain strong relationships with team and applicable internal and external contacts
- Analytical thinker with strong research and writing skills
- Proactive, can-do attitude with the ability to perform and adapt under pressure
- Good judgment with ability to protect confidential and sensitive information on behalf of the organization
- Strong overall technical skills. Proficient in MS Suite specifically Outlook, Word, Excel, and PowerPoint

The referenced salary range is based on the Company's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level.
