Purpose

The part-time (20 hours per week) front desk receptionist position will be responsible for managing the front desk, greeting visitors, and performing administrative duties as needed in collaboration with the Center Operations Administrative team.

Responsibilities
  • General Reception Duties: Responsible for welcoming visitors to TACC, answering visitor questions, directing visitors to appropriate person or department, and checking in visitors using Zoom. Monitor visitor access and maintain security awareness. Responsible for managing the front desk and ensuring that it is clean, organized, and professional-looking.
  • Customer Services: Provide excellent customer service to both internal and external customers, address and resolve any issues or inquiries in a timely manner, work collaboratively with TACC Center Operations and Administrative team and other departments to ensure seamless operations.
  • Travel Requests and Reimbursements: Book flights, hotels and transportation for employees, prepare travel itineraries, process travel expense reimbursements, ensure requests and reimbursements comply with UT policy and procedures.
  • Handling mail and deliveries: Responsible for receiving mail and deliveries and recording information in the receiving log. Collaborate with the Operations team to distribute mail and packages to the appropriate person or department. Receives and responds to requests to send mail out via FedEx, USPS, or campus mail.
  • Visitor and Event Support: Assist the Center Operations and Administrative team with event coordination. To include setting up and breaking down events, meetings and conferences; ensuring all visitors and guests are registered in Zoom and print out and organize name tags prior to the event, meeting, or conference.
  • Performing Administrative tasks: May be responsible for performing various administrative tasks such as data entry, managing and maintaining electronic records/files/databases, provide parking passes, printing name badges, distributing internal communications, monitoring office supplies, and more.
  • Other duties as assigned.
Required Qualifications
  • High school diploma or GED and at least 3 years of clerical experience (Education can substitute for experience)
  • Strong communication skills
  • Customer service skills
  • Organizational skills
  • Experience with office software such as Microsoft Office Suite and Google Docs
  • Professional and courteous attitude
  • Ability to maintain a professional demeanor

Relevant education and experience may be substituted as appropriate.

  • Bachelor's degree
  • Experience as an administrative assistant, receptionist, office manager or similar role
  • Experience working in an academic research center or University

Salary Range

$23,750 + depending on qualification (prorated by FTE)
