Job Description:

Job Summary
  • Responsible for supporting the preboarding life cycle at Southwest by assisting the Talent Acquisition Team to drive quality hires for positions at various levels. Areas of responsibility will include Candidate communication, processing, tracking, employment screening, and the post-offer acceptance process of all Candidates selected for hire. The Preboarding Experience Specialist will serve as a liaison between Candidates, Recruiters, Hiring Leaders, HRBPs, Employees, third-party administrators/vendors, and other Internal Teams including but not limited to Compensation, Career Mobility, Accommodations, SWA University, and other stakeholders throughout the company to ensure a best-in-class Candidate preboarding experience.

Responsibilities
  • Serve as a single point of contact for Candidates and Employees throughout the background and preboarding life cycle by ensuring regular communication, providing progress updates, offering guidance, and responding to questions and or concerns
  • Manage appropriate Candidate workload volume independently and efficiently from end-to-end dependent on functional area
  • Manage escalations and troubleshoot issues including but not limited to the initiation and monitoring of background, drug, and fingerprint results for Candidates by identifying discrepancies, inconsistencies, and areas potentially requiring clarification or additional investigation to determine a Candidate's eligibility for employment
  • Educate Internal and External Customers by providing guidance, regarding the background and preboarding processes, and procedures
  • Provide legendary customer service and attention to detail to internal and external customers
  • Act as a "Brand Ambassador" to ensure that Talent Acquisition remain best-in-class while providing excellent customer service
  • Provide ongoing support for in-person/virtual hiring events and/or information sessions as needed
  • Send Candidate communication and status updates through ongoing ATS/CRM campaign management, including drip campaigns, automation, email, and SMS campaigns
  • Preboard Employees and review hiring-related tasks in the applicant tracking system Workday
  • Manage logistics for new hires including but not limited to travel, lodging, building and maintaining class rosters, and first-day details
  • Evaluate and verify data required to complete Clearances (i.e., PRD, 40.25, DOT) and ensure the appropriate checks are conducted for employees in various job classes by reviewing job qualifications and requirements in order to ensure the necessary documentation is acquired
  • May perform other job duties as directed by Employee's Leaders

  • Knowledge of human resource principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations/CBA and negotiation, and applicant tracking systems

  • Intermediate organizational skills to resolve problems quickly and to continually review and change practices for maximum efficiencies
  • Ability to work in a fast-paced environment with short deadlines for operational needs
  • Ability to demonstrate high emotional intelligence in sensitive situations
Education
  • Required: High School Diploma or GED
Experience
  • Entry-level experience, developing skills and knowledge in:
    • Human Resources
    • Background Screening
    • Customer Service
Licensing/Certification

Physical Abilities
  • Ability to perform work duties from [limited space work station/desk/office area] for extended periods of time
  • Ability to communicate and interact with others in the English language to meet the demands of the job
  • Ability to use a computer and other office productivity tools with sufficient speed and accuracy to meet the demands of the job
Other Qualifications
  • Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines
  • Must be a U.S. citizen or have authorization to work in the United States as defined by the Immigration Reform Act of 1986
  • Must be at least 18 years of age
  • Must be able to comply with Company attendance standards as described in established guidelines
  • Must be able to work varying schedules, including but not limited to extended hours and occasional weekend coverage

Pay & Benefits:

  • Competitive market salary from $61,850per year to$68,700per year* depending on qualifications and experience. For eligible Leadership and individual contributor roles, additional bonus opportunities are available and awarded at the discretion of the company.
