Tessera's Bremerton, Washington, Home Office supports nationwide operations with a team of highly trained and motivated professionals in finance, human resources, vocational and workforce development, information systems, strategy, business development, communications, marketing, quality, safety, learning, and more.

Compensation: $18.70 - $26.20/hour (Tessera's compensation strategy is to position new employees between the minimum and midpoint of this range, depending on qualifications and experience.)

Work Schedule: Part-time, Flexible days and start and end times depending on scheduling needs.

As a Front Desk Assistant, you'll... The Front Desk Assistant plays a vital role in ensuring the smooth operation of the front office. Responsibilities include greeting visitors, answering phone calls, and directing inquiries to appropriate staff. They present a clean and welcoming reception area, manage mail distribution, ensure kitchens and conference rooms are well stocked, and maintain an organized inventory of office supplies. Additionally, they assist with administrative tasks such as document scanning, preparing outgoing mail/packages, and supporting workforce development initiatives. The Front Desk Assistant also coordinates office events, interfaces with vendors, and contributes to fostering a positive workplace culture. In addition to supporting front office operations, they assist the Vocational team with audit related tasks such as reviewing documents to identify any inconsistencies, reporting findings to the Vocational Manager, and entering audit dates into Workday. Effective communication and professionalism are key in this role.

  • Assists the Office Coordinator in fulfilling day-to-day operations of the front office.

  • Escorts visitors to meeting locations, interviews, events, etc.

  • Stocks and maintains office, copy area, breakout rooms, lunchrooms, and training rooms with supplies.

  • Answers incoming phone calls, screens callers for appropriate contact and answers basic questions and/or routes callers accordingly. Responds to general email and/or walk-in inquiries, routing requests to appropriate staff.

  • Greets employees and visitors in a friendly and inviting manner. Assists visitors with sign-in and ensures visitor log is completed by each visitor. Utilizes Workday to see if visitors are Skookum employees.

  • Responsible for distributing mail within building.

  • Assists with preparing outgoing mail/package requests, such as labeling, metering, and dropping/sending off.

  • Receives Home Office deliveries and ensures packages are routed to appropriate department and/or personnel.

  • Ensures reception area and mailroom are clean, orderly and welcoming. Dust and wipe down surfaces weekly.

  • Checks mailroom printer/fax machine throughout the day to ensure enough paper supply, distribute faxes to appropriate mailboxes or staff, and to ensure sensitive documents are not left on counters or otherwise readily visible.

  • Scans and creates PDF documents, forwards document(s) to appropriate personnel. Always ensures accuracy and confidentiality.

  • Operates office machines such as a computer, fax, copier, calculator, laminator, and postal machine. Resupplies money to postal machine when necessary.

  • Ensures all conference and training rooms are clean and stocked on a weekly basis.

  • Cleans out Home Office kitchens and refrigerators on a weekly basis. Organizes and stocks kitchen supplies.

  • Coordinates and interfaces with vendor for Home Office document shredding services.

  • Responsible for receiving and distributing Skookum birthday gifts for office staff each month.

  • Assists job candidates and community members with applying for jobs at our Front Desk Kiosk.

  • Creates flyers for Workforce Development Department.

  • Assists with auditing related tasks for the Vocational Department 5-10 hours per week. Tasks include reviewing documents to identify any inconsistencies, reporting findings to the Vocational Manager, and entering audit dates into Workday on a bi-weekly basis. Assist Vocational Manager with entering last completed audit dates for employees into Workday.

  • Assists Office Coordinator with vendor relations for Avanti Marketplace. Provides customer support to employees to troubleshoot machine payment, requests new products, and any other concerns.

  • Assists with uploading documents into Workday and Teams.

  • Assists with tasks and projects for Workforce Development as needed.

  • Assists with setting up and hosting Home Office events including interfacing with caterers and vendors, setting up tables, putting out and cleaning up dishware, beverage service, snacks, and other materials or training aids.

  • Assists and participates in morale building initiatives and functions. Suggests new ideas on ways to support our positive workplace culture.

  • Effectively interacts with customers, co-workers, supervisors, and managers. Acts professionally and respectfully in conflict resolution situations in front office and throughout the building.

  • All Other Duties as Assigned.

Summary of desired skills and experience for the Tessera Front Desk Assistant:

  • High School Diploma or GED is required.

  • 0 - 3 years of previous customer service, front desk, administrative or similar experience is required.

  • Excellent communication and attention to detail skills is preferred.

  • Previous experience with Microsoft Office products is preferred.

  • A valid state driver's license is preferred with the ability to obtain and maintain coverage by Tessera's insurance.
