The Impact You Will Have
We are looking for five Senior Executive Administrators who are eager to grow, embrace new technology, and thrive in a fast-paced, ever-evolving environment. As a key member of our high-performing admin team, you'll be the force that keeps our executive leaders focused and forward-moving. You'll manage complex calendars, communications, and confidential projects, often anticipating needs before they arise. This role goes far beyond logistics. It's about being a trusted partner who's not afraid to try new things, embrace technology, and bring fresh ideas to the table. You'll jump into high-impact, company-wide initiatives, lending your sharp instincts and can-do energy wherever it's needed most. As part of our continued investment in operational excellence and leadership support, we've realigned and expanded our administrative structure. The Senior Executive Administrator roles provide high-impact support to our C-level leaders, each aligned with a key area of the business:
- Finance
- Operations
- Technology
- Legal
- Strategy
This position follows a hybrid workstyle with 2-4 days in the office each week depending on business needs.
Your Responsibilities
- Be the right hand to leadership. Proactively provide administrative support for members of the ELT and/or Senior Leadership team, ensuring routine and complex matters are handled in a timely and professional manner.
- Master the calendar. Own complex scheduling with precision, resolve conflicts proactively, and keep priorities aligned.
- Lead meeting logistics. Schedule with appropriate audiences, manage responses, coordinate tasks such as contacting participants, preparing agendas, taking and distributing minutes.
- Tech-savvy support. Confidently ensure that knowledge and understanding of the technology used in department meetings and presentations is mastered (including video and teleconferencing platforms, mobile devices, laptops, etc.) to proactively troubleshoot and resolve issues in real time.
- Event management. Ensure that all arrangements for any corporate sponsored, industry, and internal events are completed including travel, room reservations, registration, speaking engagements, etc. through collaboration with internal and/or external teams
- Expense report management. Oversee the timely and accurate processing of expense reimbursements and invoices, ensuring compliance with financial policies and contributing to operational efficiency.
- Travel coordination. Book and manage all travel requests including airfare, hotel, ground transportation, dining reservations. Ensure information is readily available per the leader's preferences.
- Presentation and reporting support. Develop reports and presentations using the appropriate templates as requested. Proofread for acceptability prior to providing it to the requestor. Distribute as directed.
- Correspondence oversight. Process email, US mail, packages, etc. based on agreed upon access with the leader. Route correspondence or action items to appropriate staff and request action/information on behalf of the leader. Initiate follow-up to ensure action was taken as appropriate by the receiving party.
- Support team operations. Where applicable, attend meetings, take minutes, and report on action items as needed. Prepare and maintain correspondence and documents. Work with HR to onboard assigned new leaders as needed. Complete appropriate forms and needs as a part of the onboarding process.
- Champion confidentiality. Must maintain strict confidentiality of information obtained through all communication methods.
- Correspondence Management. Direct and master a prioritization system for email, mail, voicemail, and meetings to bring high priority items forward for interactive dialogue and direction. Rapidly handle or delegate the low priority workflow activities to the EA team and/or Admin Advisor Group
- Be a trusted partner. Interact and communicate professionally on all appropriate business priorities at an executive level and with all levels of internal employees and external contacts.
- Drive efficiency. Partner with executive admin and admin assistant teams to streamline and standardize processes and procedures. Utilize technology to improve the efficiency of the role.
Required Skills and Experiences
- 6+ years of related experience. All relevant experience including work, education, transferable skills, and military experience will be considered
- Advanced skill level in Microsoft Word, Excel and PowerPoint.
- Working knowledge of virtual platforms, such as Microsoft Teams and Zoom
- Superior communication skills necessary to comprehend, compile and speak to communication on behalf of the leader to all levels of the organizational, including internal staff and external contacts
- Strong organizational skills that enable proactive handling of multiple priorities with a sense of urgency
- Ability to work under general direction and be able to complete functions with minimal guidance/direction while producing accurate and quality results. Proven ability to handle confidential information with discretion
- Ability to anticipate and resolve issues effectively
- Ability to work effectively independently and as part of a functional team
- After normal working hours work may be required to respond to urgent requests
- High school diploma (or equivalency) and legal authorization to work in the U.S
Preferred Skills and Experiences
- Associates and/or bachelor's degrees
- Knowledge of ServiceNow or other ticket management tool
Compensation and Benefits: Pay Range: $30.55 - $38.19 - $45.83 Hourly Pay is based on several factors which vary based on position, including skills, ability, and knowledge the selected individual is bringing to the specific job. We offer a comprehensive benefits package which may include:
