Summary:

Goldbelt Apex is seeking a Business Support Specialist to support our client at the CDC at the Office of Domestic Violence Prevention (DVP). The Business Support Specialist will provide comprehensive administrative, operational, and programmatic support.

This role requires strong organizational skills, effective communication, and experience with federal administrative systems. The candidate will be responsible for timekeeping, travel coordination, meeting support, calendar management, onboarding/offboarding, and a range of office management tasks.


Responsibilities

Essential Job Functions:

  • Timekeeping and Attendance Support
  • Provide accurate and timely timesheet and leave tracking for DVP staff
  • Reconcile leave discrepancies and provide guidance on timekeeping procedures
  • Support staff in using CDC's time management systems and policies
  • Travel and Conference Coordination
  • Manage domestic and international travel processes end-to-end
  • Ensure timely travel approvals, troubleshoot travel issues, and process vouchers
  • Coordinate conference attendance and approvals
  • Educate staff on CDC travel regulations and assist with travel projections
  • Onboarding and Offboarding
  • Coordinate onboarding of new hires including facility access, equipment, training, and list updates
  • Facilitate offboarding tasks such as systems access removal and profile updates
  • Administrative and Operational Services
  • Submit service and supply requests using CDC platforms (e.g., CONCUR, ICE, CCPS)
  • Manage office supplies, mail distribution, and equipment maintenance
  • Maintain office files and support ad hoc operational needs
  • Coordinate logistics and updates for internal forecasting tools
  • Meeting Management
  • Schedule and manage logistics for in-person and virtual meetings
  • Arrange room setup, audio/visual needs, handouts, and take meeting notes
  • Document Development
  • Create documents using MS Word, Excel, and PowerPoint based on provided content
  • Ensure accuracy, formatting, and compliance with CDC standards
  • Draft routine communications and compile data reports
  • Calendar Management
  • Maintain and update senior leadership calendars daily
  • Schedule and track RSVPs for meetings, trainings, and events
  • Coordinate virtual meeting logistics with strict confidentiality
  • Records Management
  • Maintain federal records in accordance with CDC Records Management Policy
  • Complete required training on federal records annually
  • Ensure all documentation complies with the CDC Records Retention schedule

Qualifications

Necessary Skills and Knowledge:

  • Ability to manage multiple tasks and changing priorities
  • Ability to learn and become proficient in use of the CDC automated administrative systems.
  • Ability to analyze administrative problems to identify significant factors, gather pertinent data, and recognize solutions.
  • Ability to interact and provide assistance to government staff and customers around the world with the utmost courtesy and professionalism
  • Strong analytical and organizational skills
  • Excellent project management experience required
  • Must be tech savvy, strong computer skills
  • Strong written and verbal communication skills
  • Creative, innovative, and strategic thinking skills
  • Strong organizational, administrative, record keeping & time management skills

Minimum Qualifications:

  • Bachelor's Degree
  • Minimum of 5 years related experience required
  • Experience using CONCUR and TASNet
  • Experience tracking time and attendance
  • Experience in-processing/onboarding employees
  • Experience supporting high level executives in Federal Agency

Preferred Qualifications:

  • Previous CDC experience

Pay and Benefits

The salary range for this position is $65,000 - $75,000 annually.
