Academic Programs & Initiatives Coordinator
American Public University System

The Academic Programs & Initiatives Coordinator plays a vital role in the Office of the Provost, supporting the execution of academic initiatives, faculty engagement, and strategic projects. Reporting to the Director of Academic Affairs, this position ensures smooth coordination of high-impact initiatives, facilitates communication among academic leadership, and provides essential support for meetings, presentations, reports, and special projects.

This role is ideal for a proactive, detail-oriented professional with strong organizational, communication, and project management skills who thrives in a fast-paced academic environment. The coordinator will work closely with the Academic Senior Leadership, faculty leadership, and university stakeholders to streamline operations, manage events, and create compelling presentation materials.

Responsibilities:

Academic Operations & Project Coordination:



  • Supports the implementation of key academic projects, ensuring timely progress and alignment with institutional goals.
  • Assists, under the Director's supervision, with the coordination of faculty engagement initiatives, Academic newsletter, university memberships, budgets, scheduling events, and academic awards.
  • Provides logistical support for academic events and meetings; including, but not limited to, Academic and Department Chair meetings, Commencement, Provost Councils, and Provost Town Halls.
  • Supports the development and refinement of academic policies and operational processes.
  • Maintains and organizes key academic documents, reports, and correspondence.


Presentation & Communication Support:



  • Supports, designs, develops, and refines PowerPoint presentations and other visual materials for Provost meetings, faculty forums, and university leadership briefings.
  • Assists in the creation of reports, talking points, and communication materials to support the Office of the Provost.
  • Drafts and edits academic materials, including faculty communications, newsletters, and project updates.
  • Assists in managing an Academic Knowledge Base, ensuring that institutional materials remain updated and accessible.


Cross-Departmental Collaboration & Faculty Engagement:



  • Builds and maintains relationships with Deans, Associate and Vice Provosts, AVPs, faculty, and university leadership to support key initiatives.
  • Represents the Office of the Provost on committees and special projects as assigned.
  • Facilitates communication and collaboration between the Office of the Provost and Academic Senior Leadership to support institutional initiatives and strategic priorities.


Event & Meeting Support:



  • Provides meeting preparation and logistical coordination, ensuring that leadership has the necessary materials for academic meetings.
  • Supports the planning and execution of university-wide academic events, including Provost Town Halls, Provost Councils, faculty meetings, and graduation-related functions.
  • Assists in preparing agendas, meeting summaries, and follow-up action items for leadership meetings.
  • Other duties as assigned


Requirements:



  • Strong PowerPoint and presentation design skills (ability to translate complex information into clear and engaging visuals).
  • Advanced knowledge in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
  • Excellent written, verbal, and interpersonal communication skills.
  • Experience with meeting coordination, event planning, and faculty engagement.
  • Ability to manage multiple projects in a fast-paced environment with high attention to detail.
  • Strong organizational, problem-solving, and administrative skills.
  • Demonstrated ability to pivot, adapt, and manage shifting priorities in response to evolving academic and institutional needs.
  • Experience coordinating meeting logistics and travel planning as needed for leadership and institutional events
  • Proactive and resourceful approach to creative problem-solving, with the ability to anticipate challenges and develop effective solutions.
  • Ability to work independently and exercise the highest level of discretion in handling highly sensitive and confidential information.


Education:



  • Bachelor's degree required
