Responsibilities

Under general supervision this position is responsible for a variety of routine, physical and clerical duties in support of office operations at the DeWitt Corporate Headquarters of Community Bank System, Inc. The major functions of this position will include handling incoming/outgoing mail, maintaining inventories of office supplies, and providing both physical and administrative support for DeWitt Facilities and the DeWitt Office.

Essential Duties:

  • Staff and maintain the DeWitt mailroom to include handling of postage meter and postal account funding, maintaining office, mailroom and kitchen supplies.
  • Keep main kitchens properly supplied and maintained
  • Process all incoming and outgoing mail to include interoffice, USPS, UPS, etc.
  • Distribute paper and provide service support to designated copiers and printers.
  • Perform light maintenance duties as needed (hang pictures/white boards, assemble and/or move furniture, change dolly tires, etc.)
  • Maintain the office lock and key control program.
  • Provide administrative support to facilities department as needed
  • Perform company vehicle record keeping and maintenance scheduling.
  • Assist with the management of DeWitt Office records retention and storage.
  • Accompany various vendors throughout the DeWitt Office.
  • Verify identification of visitors and direct them to the appropriate department.
  • Back up couriers when needed.
  • Submit building maintenance requests as received
  • Maintain facilities records, resources and spreadsheets by keeping information current
  • Maintain proficient knowledge of, and demonstrate ongoing compliance with, all laws and regulations applicable to this position, ensure ongoing adherence to pertinent policies, procedures, and internal controls, and meet all job-specific training requirements in a timely fashion.

Ancillary Duties:

As an integral member of the Facilities Department this position is responsible for providing assistance whenever necessary to ensure that the department, the bank and its employees meet their goals.

Postage meter, telephone, copier, personal computer, printer, automobile, calculator


Qualifications

Education/Training: A minimum high school diploma or GED

Skills: Strong organizational, interpersonal, and clerical skills; basic computer skills including Microsoft Office applications (Outlook, Excel, Word); ability to operate office machines (e.g. photocopier, fax machine, postage meter); ability to operate basic maintenance tools; Must be able to regularly lift items weighing up to 50 pounds.

Experience: Minimum of two years experience in a related position normally preferred.

Other: Must have a valid driver's license.
