The Clinic/Practice Assistant plays a vital role in supporting the daily operations of the MGH Rheumatology Clinic. Under general supervision, this position performs a variety of administrative and clerical duties to ensure efficient patient flow and exceptional service delivery. The role involves direct patient interaction, coordination of appointments, and collaboration with clinical staff.
Essential Functions *Greet and welcome patients and visitors in a professional and compassionate manner. *Assist with patient check-in and registration, including insurance verification and paperwork collection. *Schedule, reschedule, and confirm appointments; manage provider calendars. *Answer and triage incoming phone calls, route messages appropriately, and respond to patient inquiries with professionalism and courtesy. *Maintain accurate and confidential patient records in compliance with HIPAA/PHI guidelines. *Provide administrative support to physicians and clinical staff, including chart preparation, note transcription, and correspondence management. *Communicate effectively with patients and families, offering guidance and support. *Coordinate referrals and collaborate with other departments to ensure continuity of care. *Handle billing-related tasks such as collecting copayments and verifying benefits eligibility. *Understand and assist with HMO, Managed Care, and third-party insurance processes. *Monitor and execute referral work queues; schedule referral-based appointments. *Provide front desk coverage, including check-in/check-out and appointment follow-up. *Support problem-solving and resolution of complex administrative issues for patients and providers. *Participate in training and onboarding of new staff members. *Adhere to infection control, safety, and hospital-wide policies and procedures. *Contribute to special projects and continuous improvement initiatives as assigned.
