midsouth.ualr.edu Summary of Job Duties:This position is based in Arkadelphia, Arkansas. The HEI Coordinator is responsible for the coordination and delivery of training materials for the Academy including New Staff Training for Family Service Workers, Resource/ Adopt Training, CHRIS Training, and Continuing Education Training. The HEI Coordinator is directly responsible to the Regional Team Leader. All MidSOUTH positions are funded through grants or contracts and are renewed on an annual basis. Continued employment is contingent on funding. This position is governed by state and federal laws, and agency/institution policy. Qualifications:

Required Education and/or Experience:

  • The formal education equivalent to a high school diploma; plus one year of specialized training in business management, business education, or a related field.

Preferred Education and/or Experience:

  • Bachelor's degree in business administration and experience using the Microsoft Office suite and other applicable software;

  • Experience working with UA Little Rock state purchasing and travel regulations;

  • Three (3) years of experience in an office setting or in an administrative support position.

Job Duties and Responsibilities:

Administrative Duties:

  • As office receptionist by greeting and directing visitors, screening calls and emails, responding to routine questions, and making referrals to other sources of information;
  • Serve as the site liaison with IT staff related to equipment maintenance issues;
  • Responsible for using Microsoft Office and other software applications to complete tasks;
  • Attend weekly virtual Regional Support Team meetings conducted by the Administrative Support Manager, specifically for additional training, to help support and train others, and to increase regional site communications and efficiency;
  • Assist the Administrative Support Manager in training new Regional Support Team Members;
  • Assist and support all other sites indefinitely when office staff positions are vacant;
  • Create and maintain the site Foundation and Concentration project worksheet for site training support;
  • Serve as Human Resources Authorized Representative to receive and review I-9 documents;
  • Serve as site liaison to landlord and cleaning service.

Documentation:

  • Compose, type, and edit various documents, including letters, memoranda, reports, forms, narratives, minutes from regional team meetings, minutes from local site employee meetings, and training materials;
  • Responsible for creating and/or record-keeping for all site-related purchasing, travel, supplies, photocopying, postage, and other audit requirements of the program in conjunction with the MidSOUTH Resources Manager Regional Team Leader, and the Leadership team;
  • Responsible for AceWare training data management.

Training Preparation:

  • Responsible for the completion of all site support activities related to the delivery of Family Service Workers, Children's Reporting Information Systems training, Foster/Adopt, and continuing education training;
  • Prepare and assist in the preparation of all materials required for training delivery;
  • Perform related duties as required or assigned;
  • Assist in training site logistics, correspondence to participants, and preparation of post-training reports and certificates;

Knowledge, Skills, and Abilities:

  • Strong organizational and interpersonal communication skills;
  • Occasional in-state and overnight travel will be necessary;
  • Work outside of normal hours may be required to meet deadlines and manage multiple tasks;
  • Ability to maneuver up and down stairs and lift to 25 pounds;
  • Strong working knowledge of current Microsoft Office Professional, Windows, and AceWare training management database systems.
