Under the supervision of the Department Head, the Business Manager I independently manages operational, financial, regulatory, and business activities of the Department of Pediatric Dentistry, ensuring compliance and efficient operations. Serving as the Assistant to the Department Head, this role liaises with the College of Dentistry's central administration on financial, business, procurement, and human resource processes. This role actively participates in departmental strategic planning, business expansion, and operational improvements. This position works closely with the Residency Program Coordinator, requiring a collaborative working relationship and cross-training as needed.

Duties & Responsibilities:

Financial Management / Business Development
  • Assist in developing the annual budget, including financial reporting, forecasting, and expenditure monitoring.
  • Provide financial analysis and recommendations to the Department Head for final budget approvals.
  • Actively contribute to the creation, implementation, and monitoring of the departmental strategic plan.
  • Oversee the operational payment structure and monitor payments, including contract-based payments, P-Card, T Card/TEM, I-Buy transactions, standing purchase orders, and invoice submissions.
  • Approve and monitor staff expenditures while ensuring compliance with fiscal policies.
  • Coordinate travel planning and purchases for faculty, recruitment candidates, and visitors.

Operations Management
  • Identify and coordinate maintenance, repairs, remodeling, and equipment purchases, including drafting plans, budgets, reviewing contracts, and submitting work orders.
  • Organize events, including annual departmental celebrations and receptions.
  • Oversee daily administrative activities as directed by the Department Head.
  • Ensure departmental compliance with university, college, and departmental mandated activities and deadlines, including but not limited to: ARS Reporting, Mandatory Ethics Training, HIPAA-OSHA Training, ANCRA Training. State Fiscal Control and Internal Auditing Act (FCIAA), RNUA, TB Testing Compliance
  • Regularly audit departmental policies and procedures to ensure compliance with university, state, and federal regulations.
  • Assist with maintaining records and documentation for the Commission on Dental Accreditation reporting.
  • Oversee project timelines, resource allocation, and deliverables for department initiatives, ensuring projects are completed efficiently and within budget.

Grants Management
  • In coordination with Principal Investigators and the College Office of Research, manage clinical, state, corporate, private, and federal grant activities, including pre- and post-award (extramural) processes.
  • Maintain documentation for expenditures, reports, purchasing, proposal submissions, and awards.

Human Resources
  • In coordination with the college, Department Head, and supervisors, provide transactional support for recruitment, selection, evaluation, reappointment, transfers, leave requests, retirements, and separation of faculty, staff, and volunteers.
  • Assist supervisors in developing and maintaining job descriptions.
  • Coordinate completion of new hire and separation tasks.
  • Collaborate with the college and Department Head on developing the annual Salary Planner.
  • Manage collection and submission of Civil Service timesheets, leave records, payroll documentation, and monitor pay adjustments and payouts.
  • Participate in regular training and meetings with Human Resource Associates.
  • Support the development and submission of Promotion & Tenure packages in coordination with faculty, the Department Head, and the Office of Faculty Affairs.
  • Respond to campus and college requests and ensure departmental compliance with all human resource policies and procedures.

Assistant to the Department Head
  • Manage administrative and business operations of the Department Head's Office, including prioritizing tasks to meet deadlines and handling time-sensitive and ad hoc requests.
  • Provide administrative support to the Department Head, including: Meeting coordination, Faculty evaluations, Document and data management, Policy implementation coordination, Other assigned projects
  • Assist with capital improvement projects and departmental events as needed.
  • Represent the department or serve on campus/university committees at the request of the Department Head while maintaining confidentiality with sensitive information.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

1. A. Bachelor's degree in accountancy, business administration, management, or a closely related field.

OR

B. Three (3) years (36 months) of work experience in accounting, business administration, fiscal management, or closely related experience.

OR

C. A combination of such education and/or work experience totaling three (3) years (36 months), as measured by the following conversion table or its proportional equivalent:
  • 30 semester hours equals one (1) year (12 months)
  • 60 semester hours or an Associate's Degree equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)

Preferred Qualifications:

  • Experience with BANNER, HR Front End, EDDIE, View Direct, My UI Financials, Web Intelligence, TEM, T-card/P-Card, or similar HR or finance software systems.
  • At least three (3) years of experience in a university, academic, or nonprofit organization.
  • Experience managing budgets and reconciling financial transactions.
  • Proficiency in Microsoft Office
