Job Description

The Legal Aid Society has an opening for a Development Databases Manager to work in the Development team.

As a member of the Development team, the Manager, Development Databases owns, manages, and expands best practices for The Legal Aid Society's CRM/donor databases. They will take ownership of the Development databases and oversee all gift processing, data management, donor segmentation, generating donor distribution lists, and other donor services that support the daily operational needs and fundraising initiatives.

The Manager will oversee two direct reports and will utilize the fundraising database to maintain up to date and accurate donor information, develop systems and standard reports to track prospects, and oversee donor stewardship and acknowledgements. They will also work closely with the Director of Development Operations in the planning and execution of next generation technology strategy and updates, related staff training, and establishing corresponding policies, procedures and protocols, and preparing process documentation.

ESSENTIAL DUTIES/RESPONSIBILITIES

Revenue Processing and Donor Stewardship



  • Oversee the processing of the gifts to ensure they are entered correctly and allocated to correct funds and campaigns
  • Ensure the timely and efficient processing of all in-house donor acknowledgements
  • Manage and track all donations for monthly financial reconciliation and annual financial statements
  • Fulfill information requests from the database, including email lists, queries and reports
  • In partnership with the Director of Fundraising Operations, develop and execute processes that support colleagues in donor facing roles, assisting them in the management of their portfolios and the donor pipeline
  • Leverage database software to generate fundraising dashboards for Finance and senior leadership



Fundraising Campaign Support



  • Create mailing lists and segmentation from RE NXT, as they pertain to the direct mail and various campaigns
  • Coordinate with Direct Mail vendor to support the production of hard copy quarterly mailings
  • Responsible for Annual Report donor list preparation



Database Maintenance and Technology Innovation



  • Work with Development Operations team to continue to adapt, strengthen and provide suggestions on all aspects of the database - structure, best practices, reporting, and processes
  • Regularly examine processes to look for ways to improve efficiency and automation
  • Execute recurring database system updates/upgrades
  • Ongoing management of various data records and segments
  • Ensure data quality by designing and executing regular audit processes
  • Process regular NCOA, Deceased, and other system updates



Team Development and Supervision



  • Oversee Development Associate(s), who support Revenue Processing, Data Entry, Donor Acknowledgements, Metrics, and Process Improvement Functions
  • Oversee and train Development staff on new technology
  • Assist the Chief Development Officer and Director of Fundraising Operations on various projects
  • Schedule employee hours, assign work, approve time off and remote work schedule requests following the guidance of LAS policy and procedures
  • Attend management meetings, participate in management trainings, and utilize current employment policies, practices and guidance as provided by management and Human Resources
  • Conduct management and supervision practices that affirmatively support equity and inclusion in the workplace
  • Supervise direct reports in setting performance standards, provide routine feedback as well as coaching/counseling, and issue disciplinary action as needed
  • Identify and provide training and development opportunities and ensure mandatory trainings are completed
  • Identify, delegate, and document work responsibilities, roles, and procedures to meet the mission of the department
  • Identify and implement department/unit management and accountability practices to improve performance
  • Resolve employee conflict, complaints, and address union concerns, with guidance from Human Resources
  • Lead organizational and culture change for the unit

QUALIFICATIONS

Required qualifications:



  • Bachelor's degree and at least 4 years of work experience; a combination of 8+ years of post-secondary education and work experience will also be considered



Preferred qualifications:



  • Ability to work with databases and development software applications, specifically Raiser's Edge NXT and Omatic is strongly preferred

Physical, environment, travel, and other duties required:



  • Mostly sedentary, significant time using a computer and monitor; communicating and meeting using video.
  • May or will require travel within NYC, across the five-borough region.
  • Ability to lift 10 pounds on an occasional/routine basis.



SALARY AND BENEFITS

The salary range represents a good faith estimate of the range we expect to pay for this role. The actual salary offered may vary depending on many factors, including but not limited to job-related knowledge, skills, and experience, as well as collectively bargained salary steps for unionized roles.

Salary Range: $96,000 - $102,000
