Job Overview

The Program Coordinator - Leadership Development manages logistics, administrative functions, and operations for a series of 12 leadership development conferences held in New York City over a three-month period. This role plays a critical part in ensuring the successful execution of a high-impact, immersive leadership experience for approximately 1,700 participants traveling from across the country. This is a temporary, four-month position based in New York, NY.

What You Will Do



  • Serve as the primary logistical point of contact for all conferences, ensuring seamless coordination with venues, hotels, vendors, the program team, and participants.
  • Partner with AAA to coordinate participant travel, accommodations, and event registration.
  • Manage all catering orders and ensure timely, accurate delivery.
  • Liaise with venue staff on room setup, audiovisual needs, catering, and hospitality arrangements.
  • Prepare and organize all program and participant materials in advance of each conference.
  • Communicate with approximately 1,700 participants, providing timely updates and fostering a positive, welcoming experience.
  • Track and manage budgets, invoices, and vendor contracts to ensure alignment with financial guidelines.
  • Oversee on-site event execution and resolve real-time issues with professionalism and composure.
  • Foster an environment of acceptance and respect that strengthens relationships, and ensures authentic connections with colleagues, customers, and communities.
  • In addition to the essential duties mentioned above, other duties may be assigned.

Customer Service Orientation: Proactively anticipates participant needs, addresses concerns with empathy and efficiency, and creates a warm, solution-focused experience for all stakeholders.

Interpersonal Effectiveness: Communicates clearly and respectfully, remaining approachable and considerate.

Technical Proficiency: Demonstrates strong proficiency in Microsoft Office applications, particularly Excel and Outlook, to efficiently manage schedules, data, communications, and reporting tasks. Uses technology to streamline processes and enhance productivity.

Who You Are



  • Candidates with a bachelor's degree or equivalent work experience in a related field are encouraged to apply. 3-5 years of experience in event planning, project management, or operations - preferably in leadership development, corporate training, or hospitality.
  • Regularly required to sit, talk, hear; use hands/fingers to touch, handle, and feel. Occasionally required to move about the workplace and reach with hands and arms. Requires close vision.
  • Able to work a flexible schedule based on department and company needs. Must be able to be on-site for all leadership conferences.
