PRIMARY FUNCTION:

The Associate Director will oversee a team that could include Grants Coordinators, Grants Administrators, Grants Specialists, and Senior Grants Administrators with grant portfolios. In collaboration with the Director, Post-Award, the Associate Director, Post-Award may serve on various committees to implement strategic plans for improving processes, services, systems, policy development, and training programs. Training and education is a critical component of this leadership role to ensure all RACE employees are providing superior service to all faculty at Thomas Jefferson University and its controlled affiliates as outlined in the department's service level agreement. The Associate Director, Post-Award models and fosters behavior that establishes a culture that values the staff/faculty partnership and is consistent with the values, goals, and objectives of the enterprise/department to create an atmosphere of trust, cooperation, accountability, empowerment, and dedication to the research mission of the enterprise.

Overview

The role of Associate Director is to:

  • Team level
    • Oversee the management of a team of post-award administrative staff
  • Team size and scale:
    • Manage up to 8 direct reports, including:
      • Up to 7 post-award Grants Administrators
      • 1 Grants Coordinator
  • Manage a grant portfolio
    • Manage a small portfolio yourself
    • Serve a small number of PIs and departments

  • One on one with Director, at least once a week
  • RACE Leadership:
    • Attend meetings with the Director and other Associate Directors. Role of the Associate Director in the meeting is to receive directives from senior leadership and carry them out to direct reports. The Director and ADs will also review processes and ensure consistency across teams.
  • Participation in meetings and committees outside RACE
    • Varied, as needed/requested

Post-award management/training

  • The Associate Director is responsible for managing and training a small staff of post-award Grants Administrators. This includes oversight of day-to-day financial administration, filing annual reports, closing out accounts, etc.

Management of personnel

  • Management of FTEs, including:
    • Assigning work to all direct reports; ensuring that their workload is commensurate with their skill level and experience
    • Intervening as necessary with sponsors, or other business units across the Jefferson enterprise, and the Offices of Research Support Services (e.g., ORA, SPAO, and JCRI)
    • Input into disciplinary action, promotion, and retention
    • At a minimum, weekly one-on-one sessions with all direct reports

OTHER FUNCTIONS AND COMPETENCIES:

  • Experience working with research administration software applications in both pre-and post-award.
  • General knowledge of applicable federal, state and other sponsor regulations related to sponsored projects, including the Office of Management and Budget's (OMB) Uniform Guidance.
  • Analytical and problem-solving skills, including experience researching and analyzing complex data to develop accurate reports, identify valid solutions, forecast consequences of the proposed action and implement a course of action.
  • Ability to work independently in a team environment, take ownership of the resolution of problems, be flexible and accountable, manage conflicting responsibilities, prioritize tasks and consistently meet deadlines.
  • Ability to establish and maintain effective working relationships with Research Administrators, Associate Directors, the Director, Post-Award (RACE), and a variety of other constituents within and outside the Offices of Research Support Services.
  • Demonstrate excellent oral and written communication skills with experience in communicating with a broad range of audiences through various mediums.
  • Capability to manage/offer guidance regarding the administrative aspects of sponsored programs supporting basic, applied, or clinical research.
  • Embrace change and ambiguity.
  • Other duties as assigned.

EDUCATIONAL/TRAINING REQUIREMENTS:

Bachelor's Degree in Business, Finance, Healthcare Administration, or related field required.

EXPERIENCE REQUIREMENTS:

Six + years of related research administration experience is required. Minimum of 3 years of supervisory experience required. Prior training/experience in research administration is preferred. Computer skills in a PC/Windows environment, including MS Word, Excel, and PowerPoint, demonstrated by application materials and previous experience. Excellent written communication skills and attention to detail as demonstrated by application materials.
