What we offer:

* Salary: $48,000 - $50,000

Job Functions:

The Executive Assistant supports all functions of the Executive Office and will be a support resource to any "C" executive. This role will include exposure to board members, major donors, and other potentially high profile guests requiring a high level of confidentiality and discernment. A successful candidate for this role should be strong in organization skills, technology and interpersonal chemistry.

Essential Responsibilities:

  1. Coordinate arrangements, meetings and/or conferences as assigned by members of the Executive team, including C-suite members.
  2. Drive timely communication of events, meetings, and updates to Dignitaries, Board, and VIPs on behalf of the CEO.
  3. Correspond with board members, major donors, or throughout the organization as requested.
  4. Coordinate scheduling, compilation and distribution of agendas, materials and minutes for Board and subcommittee meetings in timely manner.
  5. Responsible for hospitality and other meeting logistics, including virtual access to meetings for Trustees.
  6. Maintain accurate and current rosters for Board members and Board subcommittees.
  7. Utilize organizationally adapted technology such as soft phone platform, Office 365 including One Drive, Sharepoint, Teams, Concur, and the Office product suite.
  8. Compile, proofread and revise drafts of documents and reports.
  9. Perform accurate research and analysis as requested online or in the donor database (CRM).
  10. Daily record keeping and filing of documents.
  11. Prepare reports, presentations and correspondence accurately and swiftly.
  12. Create and organize information and generate reference tools for easy use.
  13. Answer and screen telephone calls, and respond to emails, messages, and other correspondence on behalf of the executive team as requested.
  14. Operate and maintain office equipment.
  15. Manage busy calendar, meeting coordination also including travel arrangements when applicable.
  16. Professionally greet and receive all guests including but not limited to Board members, donors, clients, and employees.
  17. Ensure efficient and effective administrative information and assistance.
  18. Supervises and directs volunteers and interns when applicable.
  19. Supports MM special events, the Holiday Center and team in other tasks as assigned.
  20. Meets personal goals and actively contributes to the achievement of team and organization targets/goals as stated within established organizational and departmental KPI's and in the annual plan.
Requirements

Education and Experience:

Certificate or Associates Degree in Business or Related Field. Degree in Business Administration preferred. Five years of experience in an executive support role. Experience with Virtuous CRM preferred.

Skills Requirements:

Exceptional administrative and clerical skills. Ability to multi-task and work well under pressure in a fast-paced environment. Should be organized, have superb research skills and must be exceptional communicators with a keen interest in providing reliable and accurate support to executives and management while working with confidential information.

Incredible problem solving and office coordination skills and exhibit excellent time management. Methodical thinker with detailed research proficiencies. Thorough understanding of clerical and secretarial principles. Strong knowledge of databases and tracking systems. Fantastic organizational skills and detail oriented. Ability to work under pressure and meet deadlines. Brilliant written and verbal communication skills. Proficient in Microsoft Office, and business communication software.

Physical Requirements:

Ability to stand and sit for long periods of time. Ability to walk and climb stairs and to lift 20 lbs. Hearing and speaking ability which allows for effective oral communication of information; physical, emotional and spiritual stamina to handle job-related issues and stress.

Other:

Must demonstrate legal authorization to work in the United States. Must pass applicable pre-employment background screening procedures. Ability to accommodate a flexible work schedule during strategic and holiday periods of the year including weeknights, weekends, and particularly Thanksgiving and Christmas Day.
