Position Overview
The Office of Undergraduate Admissions reports to the Vice Provost for Enrollment Management, which includes the following functional units: Undergraduate Admissions, Graduate Admissions, Financial Aid & Scholarships, Office of the University Registrar, Student Lifecycle Technology, and Enrollment Marketing & Communications.

The Office of Undergraduate Admissions is responsible for domestic and international undergraduate admissions for both freshman and transfer students. It also coordinates KU's overall recruitment strategy, including travel, on- and off-campus events, prospect data entry, and application processing.

The Welcome Center Coordinator, reporting to the Assistant Director, assists in the coordination of the Jayhawk Welcome Center desk and assists with the Student Ambassador program. The Jayhawk Welcome Center opened in Spring 2023. As a home for the KU community, the Jayhawk Welcome Center powerfully tells our story, illustrating the incomparable KU experience and what it truly means to be a Jayhawk. This position will help lead welcome desk operations for the Jayhawk Welcome Center, welcoming visitors to the University of Kansas, including prospective students and Alumni, and providing critical support on campus visit days and other university events.

Please note, this is an on-campus, in-person position with specific hours.

As the campus visit is the most important conversion and yield strategy, this position ensures the visit experience not only meets, but exceeds expectations for prospective students and guests.

This position supports the overall university recruitment efforts by providing recruitment and visit support on special projects. Some limited evening and weekend work is required.

Job Description
75% - Desk Management
  • Independently coordinates the opening and closing of the Jayhawk Welcome Center desk.
  • Serves on a team as a first point of contact modeling strong customer service skills for all staff supporting the check-in process for events, directing visitors to appointments and overall desk operations.
  • Supervises - along with Assistant Director; desk assistants and office aides overseeing operations and projects.
  • Works closely with Assistant Director and the KU ambassadors, and Recruitment/Visit and Alumni staff to deliver excellent check-in experience for the university visitor.
  • Stays abreast of campus events located at the Jayhawk Welcome Center, anticipates and communicates any relevant information to the recruitment and visit teams to strengthen the visit experience.
  • Assists with preparation of coffee and ensures coffee/tea/water are available for the daily visits. Provides information to visitors on general aspects of campus services and directs them to the appropriate individual for assistance.
  • Use independent judgment to resolve problems as they arise. Refers any issues or concerns to supervisor.

20% - Administrative Support & Student Supervision
  • Supports Assistant Director on scheduling and payroll needs for KU Student Ambassadors. Provides support with creating and distributing daily event information and answering department email during peak times.
  • Assists with internal staff communication.
  • Works with KU constituents (KU Endowment Association, KU Alumni Association, KU Athletics, the Provost and Chancellor's offices as well as other departments/units across campus) to provide prospective students a high-touch recruitment outreach and visit.
  • Assists with the management and timely inventory and ordering of supplies needed to execute the campus visit.
  • Manages the Jayhawk Welcome Center welcome board content and daily event flow.

5% - Other Responsibilities as Assigned
  • Other responsibilities as assigned by the Assistant and Associate Director of Campus Visits and Events.

Required Qualifications
  1. High school diploma or GED equivalency and four years of office experience or four years of post-secondary education (i.e., bachelor's degree)
  2. Excellent communication skills, as evidenced in application materials.
  3. Previous experience that required working independently with minimal supervision, as outlined in application materials.
  4. Four years of experience using Microsoft Office and technology.
  5. Experience working in a hospitality role, office, or higher education role, including supervision experience of students or staff, as evidenced in application materials.
  6. Strong attention to detail, time management, and the ability to manage multiple tasks simultaneously, as evidenced in application materials.
