Job Title: Team Assistant

Location(s): Fairbanks, AK

Performs any of the following tasks:


  • Office Management: Act as point of contact for third parties such as property manager, office suppliers, accounts payable.
  • New Hire Onboarding: Monitor Worker Readiness/Utilize MyIT, Order Lifetime email, windows account, Admin rights, Badge access, laptop, cell phone. Image laptop for Day 1. Perform Day 1 onboarding - welcome new hire, review Onboarding guide - review policies and guides for the Zone/Area.

    • Completes ADP I9 verification (needs to be completed within the first 3 days of hire).


  • Offboarding: Performs IT Offboarding - IT transactions, asset reassignment (phone, laptop), Vehicle transfers, removes building access, removal from phone list, Org Chart.
  • SAP: Enter new hire in SAP (needs to be completed the first week of hire/chargeable employee's). Submit SAP license/roles.
  • Area Safety Administrator: Act as Area Safety Program Lead, Drive safety, send safety reminders to management /employees.
  • Maintain clean and organized steady stock of PPE for any new hires, replacement for audits and Safety Day event, manage Uniform Program. Assist with Safety questionnaires/vendor prequalifications.
  • Maintains Office Supplies: Each week do inventory of office supplies, kitchen, etc and order items as needed to keep the office well stocked.
  • Setup vendors/work with vendors to have invoices submitted properly. Follow-up on invoices to ensure they have been paid.
  • Schedule and support Internal Meetings: Coordinate catering.
  • Customer Training Support: Schedule training rooms, greet students, order catering, track delivery and pick up of training equipment, act as liaison with instructor and sales. Supports sales to identify and schedule customer training in contracts and respond to sales requests.
  • Manage incoming customer calls (upcoming Auto Attendant - Answer Operator calls in Teams). Answer inquiries, direct calls to the appropriate departments, and ensuring a smooth communication flow.
  • Coordinate Branch Events such as Holiday Party, Spirit Weeks, Employee Recognition Events, etc.
  • Request Certificates of Insurance.
