Administrative Specialist (Newborn Hearing Screening Program)

Location: Redlands, CA

Type of Work: Hybrid (In office 2 days per week required)

Pay: Hourly position (range is between $25/hr.--$28/hr. based on qualifications)

As a TEAMMATE:The Administrative Specialist (Newborn Hearing Screening Program Tech) is a crucial team member, who provides extraordinary service to the families in the State of California ensuring each baby is connected to critical services in the community, while achieving goals and targets set forth by the management team.

What you'll get to do in this role: This is an exciting opportunity to provide a broad range of support services to the to the State's Newborn Hearing Screen Program. Assist with monitoring newborn hearing screening status, work with families and providers to schedule or reschedule necessary appointment, track notification letters and information packets, and ensure the newborn's case is managed throughout the process up to closure. Provides clerical support services, triage telephone calls, mail and fax correspondence to families and Primary Care Providers.

  • Notification of all Newborn Hearing stakeholders and providers;
  • Notify and document non-English speaking families and assist them with language translation either verbally or in writing if necessary;

  • Communicate questions in entering, transcribing, recording and maintaining information related to program and computer software systems;

  • Provide training and education to providers, professional staff, and state users in the routine software processes and assist with resolving any program concerns;

  • Collect and report any stakeholder concerns for possible process improvements;

  • Complete data entry tasks including printing and mailing of notification letters to necessary providers and information packets to families as needed;

  • Print and mail or fax notification letters to necessary providers;

  • Be a point of contact for tracking software issues and troubleshooting issues with data transmittal and collection ;

  • Follow-up directly with users and providers regarding questions and concerns

What we are looking for:

  • High School Diploma or GED Required (Associate's or Bachelor's degree preferred)
  • 1 year administrative office experience
  • Strong proficiency in Microsoft Office Programs (Word, Excel, Outlook, Teams, etc)
  • Proficient in use of office equipment to include; fax machines and scanners

Strongly Preferred: Bilingual in English and Spanish
