Summary/Objectives
The Administrative Assistant position at Private Capital Management is a self-motivated, detail oriented, and team-focused role with a high degree of client interaction. This position enhances the client experience through providing excellent service and consideration of our clients. This role is responsible for adhering to firm policies and procedures, striving to utilize the firm's digital capabilities whenever possible, and maintaining the highest standards of professional ethics and a commitment to client service excellence. This position is to provide executive, administrative, and organizational support to our team. A professional and people-oriented demeanor is required for this engaging position.

Essential Functions

  • Welcome visitors by greeting them in person or over the phone, answering or referring inquiries. Answer multi-line telephone system, take accurate messages, screen and direct telephone calls in a professional manner to team members both in the office and at other locations.

  • Perform administrative assistant duties including, but not limited to, phone calls, setting calendar appointments, coordinating client meeting materials, client meeting setup and cleanup, and coordinating expense reimbursement.

  • Pick up, sort, open and distribute mail on a daily basis, with some processing as assigned for client mail.

  • Handle confidential and non-routine information, adhering to compliance and business policies.

  • Coordinate the ordering of office supplies and assist with handling day-to-day office management items such as vendor coordination, building management updates and requests, and managing service requests with other teams within the SouthState Bank organization.

  • Perform other job-related duties as assigned.

Competencies

  • Must be Proficient in Microsoft Office Products (Word, Excel, Outlook).

  • Strong self-starter required.

  • Ability to maintain a high level of productivity without constant supervision.

  • Energetic and outgoing.

  • Must present professional demeanor and appearance at all times

Qualifications, Education & Certification Requirements

  • Education: Minimum high school diploma or equivalent education certificate (GED). College degree preferred.

  • Experience: 2+ years administrative support experience, required. 1-3 years previous administrative support for corporate executives, preferred.

  • Certifications/Specific Knowledge: Excellent customer service skills are required.

Training Requirements/Classes
Required annual compliance training, New Employee Orientation

Physical Demands
Must be able to effectively access and interpret information on computer screens, documents, reports, and cash denominations, and identify customers. This position requires a large amount of time in front of a computer. This can be done sitting. This position may require bending and reaching.

Work Environment
This position is in an open lobby with an individual work station/reception desk in a common area.

In accordance with Colorado law: Colorado pay for this position is anticipated to be between $35,542.00 - $53,314.00 , actual offers to be determined based on applicant's skills, experience and education.
