About the Office or Unit

The Legal Information Institute at Cornell Law School is responsible for the world's first source for free legal information online. Each year, we welcome tens of millions of visitors from around the world who want to find and understand US law. Our small team builds fast-loading, usable, reliable applications that bring American law to people from all walks of life - lawyers, engineers, construction workers, students, disability advocates, bankers, farmers, and many, many more.

The Opportunity

The Administrative Assistant assists with the day-to-day operation of the Legal Information Institute (LII), an organization devoted to producing a website that is used by tens of millions of Americans each year to find and understand the law. Primary responsibilities include:

  • Responding to complex telephone and email inquiries from project donors and website users containing routine and non-routine inquiries.
  • Monitoring department budget for expenses and balances, including investigating discrepancies and processing charges, P-Card purchases, and travel reimbursements.
  • Reviewing routine financial transactions and providing account attestation as directed.
  • Tracking and paying mission-essential software subscriptions and other bills.
  • Assisting student employees with the hiring and time entry process, and approving student time entries as needed.
  • Reporting designated donations to Cornell University Development personnel and inputting reports received from those personnel into LII's donor-tracking system.
  • Maintain and update website content per schedule; implement changes, fix errors and broken links, cross-link resources, and create layout templates as needed.

Hours and Location
This position is a full-time, benefits-eligible, 39 hours per week role performed in a hybrid format of one (1) day per week remote and four (4) days per week at the Cornell Law School at 524 College Ave. Core LII office hours are 8:00AM-5:00PM, Monday through Friday, with some flexibility on start and end times, to be determined by your supervisor.

What We Need

  • A cover letter and resume outlining your interest and how your experience and goals align with the potential for mutual success in the role are required for consideration.
  • Associate's degree and 2-4 years of experience or equivalent combination of education and experience.
  • Proficient in Microsoft Office Suite and Google Suite software.
  • Comfortable learning and using new systems, particularly in a web-based environment.
  • Experience working and interacting with students, both in-person and remotely.
  • Excellent written and oral communication skills, along with organizational, planning, time management, and interpersonal skills.
  • Strong service orientation and attention to detail.
  • Ability to prioritize and multitask.
  • Ability to cultivate and develop inclusive working relationships with students, faculty, staff, and community members.

If you have all those things, great! We have a few more things that we would prefer you to have, but it's ok if you don't.

  • Experience with Cornell financial reporting systems, and general administration in a unit with significant fundraising activity from donors not otherwise affiliated with the University.
  • Familiar with financial, and database programs, as well as mass email software and online fundraising platforms.

  • Tech-savvy and process-minded, quick to learn new systems and tools, proactive in identifying opportunities to streamline administrative operations, and capable of knowing when to escalate reports of technical issues for troubleshooting.
