Tacoma Community College (TCC) was built on the ancestral territory of Coast Salish peoples, specifically the Puyallup and Squaxin Island Tribes. The 1854 Medicine Creek Treaty forcibly removed them to Reservations to make way for colonizers; we recognize the privilege of utilizing this land has come at a great cost. We honor the resilience of the Puyallup and Squaxin Island people, who still live here, defend their rights, and contribute greatly to the well-being of our community. Our institution aims to increase partnerships and community ties with the local indigenous populations. Moreover, TCC stands in solidarity with Black Lives Matter and the Black community by further strengthening collaboration with the Black Student Union as well as community entities such as the Tacoma-Pierce County Black Collective, the Tacoma Urban League, and local black-owned businesses. In addition, we strongly support the Stop Asian Hate movement and have an active Asian Pacific Islander Student Club as well as an Asian and Pacific Islander Faculty and Staff Coalition. Position Summary

Provide confidential, high level administrative support to the Vice President for Equity, Diversity, and Inclusion, inclusive of all duties performed, and activities attended. Perform complex, professional, administrative workload management requiring a high level of technical proficiency, decision making, and judgement on complex, confidential, and/or sensitive issues. Provide general administrative support to the Division for Equity, Diversity, and Inclusion.

Essential Functions

  • Manage the office affairs of the Vice President. Develop and maintain office procedures and guidelines; maintain adequate supplies and functional equipment for the office; assure office coverage.
  • Compose correspondence, narrative and/or statistical reports specific to the operation and responsibilities of the Office of the Vice President; prepare charts and graphs. Prepare various college forms including travel authorization requests, voucher distributions, purchase requisitions, travel vouchers, etc.
  • Receive and screen incoming correspondence and reports. Determine priorities for action and forward with appropriate notations to proper person for action. Compose correspondence for the Vice President's signature or reply directly to general inquiries regarding the office of Equity, Diversity, and Inclusion.
  • Establish and maintain complex electronic and paper filing systems. Maintain confidential student and personnel files.
  • Coordinate all functions and activities associated with the Vice President's office. Coordinate, schedule and organize meetings. Secure rooms, prepare agendas and other written materials. Take meeting minutes, transcribe, finalize and distribute them.
  • Attend meetings as the Vice President's representative. Provide information and report conclusions to staff, transmitting assignments and requesting status information.
  • Serve on the Equity, Diversity, and Inclusion Council (EDIC) and any related Action Committee(s). Scheduling all EDIC meetings; reserving meeting space; taking, transcribing, finalizing, and distributing meeting minutes; staying abreast of the EDIC by-laws and membership.
  • Ability to establish and maintain positive working relationships with students, colleagues, and staff representing diverse ethnic, cultural, socioeconomic, and learning abilities.
  • Schedule and maintain calendar for Vice President.
  • Monitor annual budgets for the Vice President's office and other designated budgets, including Affinity Groups. Maintain accurate and current budget records, funding requests, and status reports.
  • Develop budget estimates and make recommendations in preparation for and maintenance of departmental and grant budgets including salary and benefits projections, supply needs and equipment.
  • Plan, coordinate, and schedule on and off-campus workshops, meetings, and activities for the Office for Equity, Diversity, and Inclusion, and college groups; secure presenters; reserve facilities and arrange room set-up; arrange for audiovisual, computer and other equipment; create and distribute flyers or arrange for appropriate advertising; register participants and collect fees (as appropriate), correspond with participants; arrange for meals and/or refreshments; prepare material for distribution at meetings; coordinate parking and access to facilities with Campus Public Safety and Facilities; coordinate evaluation procedures, as directed by Vice President.
  • Plan, coordinate, and manage all aspects of travel logistics for individuals and groups attending conferences, events, and professional development activities sponsored by the Office for Equity, Diversity, and Inclusion, including transportation, lodging, registration, itineraries, reimbursements, and compliance with institutional policies.
  • Assure complete confidentiality of information relative to all matters in the Vice President's office and the college. Handle confidential matters; resolve problems independently, using discretion and following established policies and guidelines. Keep Vice President apprised and involved, as appropriate.
  • Assist students, the campus community and the public to resolve problems and obtain accurate information; project a positive image for the Vice President's office; utilize discretion and interact tactfully, sensitively and effectively with a diverse public and college constituency to resolve problems.
  • Create, edit, or revise presentation materials with information provided by VP for EDI.
  • Provide general administrative support to the Division for Equity, Diversity, and Inclusion, including Institutional Research, Professional Development, Institutional Outcomes and Assessment, and Equity, Diversity, and Inclusion.
  • Other duties as assigned by the Vice President of Equity, Diversity, and Inclusion.

Qualifications

Duties of the position required experience:

  • Strong commitment to the principles and practices of creating and maintaining equitable access and an inclusive environment for all people.
  • Associate's degree from an accredited college or university.
  • Three years of directly related professional/administrative work experience.
  • -OR- equivalent education and /or experience.
  • Strong, effective communication, organizational, and personal skills.
  • Advanced experience with word processing, spreadsheet, database and related management software.
  • Experience with proofreading and notetaking.
  • Familiarity with budget management practices.
Condition of employment:
  • Successful completion of a criminal history background check prior to employment.

Required work schedule and work environment

This is a full-time time exempt administrative position contracted on an annual basis. The salary range for this position is $81,000-$85,000. The salary will be prorated to reflect the actual number of contract days worked in the remainder of the year. Flexibility is required to meet the needs of the department. Schedule may include early mornings, evenings, and weekend availability.
