Order and keep track of all supplies, including kitchen, assisting with meeting setups, conference room calendars for meetings, greeting visitors/guests. Recommending hotels, eateries, car service. Responsible for cleaning coffee machine, emailing janitorial team of meetings.

Key Responsibilities

  • Greet, screen and facilitate visitor/vendor access (includes visitor sign in)
  • Issue visitor badges and temporary access cards, when appropriate
  • Monitor inventory levels and order office supplies as needed
  • Order building consumable supplies as requested
  • Maintain site phone directory and post revisions at visitor entrance
  • Create workspace name plates for new associates
  • Maintain accurate seating chart of office associates
  • Apply postage to mail, disperse mail and perform related tasks
  • Assist and coordinates use of shared resources (i.e. meeting rooms)
  • Update digital signage with visitor or other information as requested
  • Organize and maintain lobby/ front desk areas
  • Resolve problems associated with building services including janitorial, mail services, coffee services and meeting rooms
  • Assist with receiving and dispatching of work orders to technical staff, vendors or other services providers
  • Assist with the coordination and scheduling of building maintenance activities
  • Work collaboratively within the facility management team
  • Anticipate and respond to Client's needs and concerns; seek to improve the Client's overall satisfaction
  • Identify potential risks and escalate, to ensure no incident or disruption to the Client's operations
  • Respond and follow through to requests for information and communicate with all levels of management with minimal supervision
  • Team/Senior Mgmt meeting planning
  • Booking lunches/ dinners / team outings
  • Supporting with arrangements for external visitors such as hotel booking/taxis
  • Booking meeting rooms/ conference areas
  • Keep common areas supplies in place and keep common areas in the office in order
  • Staples orders/ office supplies for management team
  • Support with other administrative tasks such a mailing, Houston communication, organize site events, come up with ideas/support organization of employee's events
  • Support with community outreach events
  • Additional job duties, as requested
