Posting Summary
Rutgers, The State University of New Jersey, is seeking a Unit Administrator/Specialist Seasonal for the Undergraduate Education Academic Services. This role focuses on supporting their academic success by helping them manage pre-college credits through discovery, evaluation, and beyond.
Among the key duties of this position are the following:

  • Provides support to Associate Dean of Academic Services and the Assistant Dean of the First Year Advising Office by organizing and coordinating pre-college transcript evaluation functions.
  • Coordinates the confidential location and review processes.
  • Prioritizes work, prepares and implements administrative guidelines and procedures.
  • Provides routine and non-routine information and explanations to students.
  • May create informational materials.
  • Provides supporting research, analysis, and proposal data pertaining to pre-college credit.
  • Prepares, processes, and controls records, statistics, reports, and documents in support of first-year student registration.
  • May also provide support in responding to student inquiries about transcript evaluation status.
  • Organizes and coordinates all aspects of transcript evaluation processes, ensuring accuracy and confidentiality throughout.
  • Works closely with students, this role involves providing clear and thorough explanations about credit evaluations, offering routine and non-routine information to assist students in making informed decisions, and preparing critical administrative documents such as reports and records to streamline first-year registration processes.
  • Ensures that each first-year student begins their academic journey with clarity and confidence, feeling supported every step of the way.
  • Collaborates with the First Year Senior Administrative Assistant and the Director for First Year Advising to evaluate and process pre-college credits, including Dual Enrollment, International Baccalaureate, A-levels, and AP scores.
  • Manages communication with students regarding credit evaluations, ensuring they understand how these apply to their academic plans and assisting them in making informed registration decisions.
  • Addresses challenges related to volume and process complexities to ensure a smooth workflow.

Consistent with the current application of Rutgers Policy 60.3.22 or the applicable provisions of relevant collective negotiations agreements, this position may be eligible for a hybrid work arrangement. Flexible work arrangements are not permanent, are subject to change or discontinuation, and contingent on the employee receiving approval in the FlexWork@RU Application System.

Qualifications


Minimum Education and Experience

  • Bachelor's degree in a related field, or an equivalent combination of education and/or experience.
  • Up to two years relevant experience in an administrative function, good communication and interpersonal skills, and computer literacy.

  • Proficiency of use with Rutgers Student Records Database.
