The Alaka`ina Foundation Family of Companies (FOCs) has a need for a Policy Analyst 1 Administrative Support Specialist to support our government customer located in Fort Collins, Colorado.

DESCRIPTION OF RESPONSIBILITIES:

  • Task 1: Policy Support Services

    • Provide a variety of Level I (entry Level) policy support services to support DVBD during active emergency response(s).

      • Issues Management

        • Utilize an existing centralized tracking tool that tracks action items, issues, and data calls; maintaining the input of information into the existing tracking tool; following up on pending actions as necessary; and providing reports on pending and completed actions.

        • Receive, triage to Branch leadership, and return responses to Policy issues management requests, including emergency response-related issues management requests.

        • In coordination with the DVBD Policy Team, receive, triage to appropriate Branch staff, and return public inquiries, including emergency response-related public inquiries.

      • General Policy Support Services

        • Provide updates for congressional inquiries and requests for hearings, briefings, and information as directed by the DVBD Policy Team leadership.

        • Draft DVBD documents such as one-page fact sheets, proposals, and other related materials as directed by the DVBD Policy Team.

  • Task 2: Administrative Support Services

    • Provide Level I (entry level) administrative support for Vector Day, Vector Week 2026, and emergency response-related meetings. Vector Day is an annual one-day virtual meeting and Vector Week 2026 is a biannual in-person/hybrid meeting for DVBD's funded recipients, including the Epidemiology and Laboratory Capacity (ELC), Centers of Excellence (CoE) and Training and Evaluation Centers (TEC) funding recipients, as well as other federal and national partners. These meetings are typically held in February or March with the in-person Vector Week 2026 meeting in Fort Collins, Colorado.

    • Provide support leading up to Vector Week 2026.

    • Provide conference/meeting planning, management, and logistics support.

      • Vector Day

        • Preparing draft meeting materials and tracking registration.

        • Collaborating with Branch representatives to develop a draft program agenda.

        • Supporting coordination and execution of the virtual event, including serving as a coordinator within the Zoom webinar and supporting breakout group execution.

        • Taking notes with key action items documented.

      • Emergency response-related meetings (webinar and partner-coordinated in-person) coordination.

        • Preparing draft meeting materials.

        • Collaborating with Branch representatives to develop a draft program agenda.

        • Supporting coordination and execution of the in-person/hybrid event(s).

      • Vector Week 2026

        • Preparing draft meeting materials and tracking registration.

        • Collaborating with Branch representatives to develop a draft program agenda.

  • Task 3: Project Management and Communication

    • Project Management

      • The Contractor shall arrange for kick off meeting with the task order Contracting Officer's Representative (COR), DVBD technical advisors, and other appropriate staff and contractors within two weeks of the award of this task order to discuss the details of this project, deliverables, reporting requirements, and timelines. The meeting can be in-person, virtual, or a hybrid meeting (with some personnel in-person and others attending virtually). The Contractor shall draft the meeting agenda ahead of time. This initial meeting will also provide the opportunity for the contractor to discuss with DVBD the potential products and services needed under this task order. The Contractor will take meeting minutes and e-mail them to the COR within 5 business days after the kick-off meeting.

      • The Contractor shall participate in periodic conference calls with DVBD to summarize and discuss progress on task order deliverables as necessary and as directed by the COR. The Contractor shall submit agendas in advance of conference calls and shall submit minutes after the calls. The frequency of project calls may be adjusted through mutual agreement between the contractor and DVBD.

      • The Contractor shall prepare and submit monthly technical progress reports in narrative form which shall contain technical results of the work accomplished during the reporting period. This report shall be in sufficient detail to disclose all work started and results achieved during the reporting period, an indication of any current problems which may impede performance, the proposed corrective action, and the work forecast for the next period.

      • Upon completion of all work under the contract, the Contractor shall prepare and submit to the Government a final report covering in detail all the work accomplished under the contract. The final report shall document and summarize the entire contract work and shall include recommendations and conclusions based on the experience and results obtained. The final report shall include tables, graphs, photos, and diagrams in sufficient detail to comprehensively explain the results achieved under the contract. The report shall also include an analysis of salient findings, a presentation of general conclusions, and any guidance or recommendations deemed pertinent for future consideration by the Division of Vector-Borne Diseases.

REQUIRED DEGREE/EDUCATION/CERTIFICATION:

  • High School Diploma and four (4) years' experience.

REQUIRED SKILLS AND EXPERIENCE:

  • Ability to follow and execute SOPs independently and with a high degree of quality assurance.

  • Excellent written and verbal communication skills.

  • Energetic team presence with an eagerness to learn and collaborate with other members of the team.

  • Ability to multi-task and prioritize competing demands in a fast-paced environment.

  • Strong skills with Microsoft Office (Outlook, Word, Excel, and PowerPoint).

REQUIRED CITIZENSHIP AND CLEARANCE:

  • Must be a U.S. citizen

  • Must be able to pass Tier 1 Background Investigation.
