Job Summary

The anticipated duration of this temporary assignment is approximately 7 months.

The Department of Pediatrics is one of the largest and most complex departments in the School of Medicine. The Department is comprised of 18 divisions, with clinical income from inpatient and outpatient activities totaling over $65 million dollars in charges and annual extramural funding (contracts and grants) exceeding $35 million. The Department's mission includes research (both basic and clinical), education, patient care and public service.

The Department has a decentralized organizational structure with 18 divisions. The new UCSF Benioff Children's Hospital opened recently at Mission Bay and the campus became the new base for operations for most children's services, although a department presence continues at Mt. Zion, Laurel Heights, and Zuckerberg San Francisco General Hospital (ZSFG) and other off-site clinical locations where Pediatrics faculty provide inpatient and outpatient care. Key administrators operate at these locations to provide strategic planning, internal controls and optimum administrative support. Authority and accountability for the Department reside with the Department Chair who delegates authority to Vice Chairs and Division Chiefs, and the Associate Chair for Finance and Administration. Because of the size of the Department, the geographically and operationally diverse sites, and the high volume of transactions, the effective management of this complex organization requires an administrative leadership structure that functions closely and in tandem with division chiefs and administrators, and also works to support the Department Chair's initiatives.

Key Responsibilities:

  • Provide technical and administrative support to assigned divisions for daily operations.

  • Report directly to and work under the general supervision of the Division Administrator.

  • Support a wide range of administrative, HR, financial, and operational tasks.

  • Assist division chiefs, clinical directors, faculty, fellows, and staff.

  • Coordinate and support special projects and assignments as they arise.

  • Assist with state-mandated time studies.

  • Provide Pre-Award support as needed.

  • Help the Division Administrator with processing financial and HR transactions.

  • Conduct account reconciliations.

  • Assist in securing staff privileges for faculty at external hospitals.

  • Support purchasing and reimbursement processes.

  • Serve as a liaison for clinical operations transitions.

  • Coordinate calendaring and planning for both routine and special division activities.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications


  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.

  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.

  • Ability to use discretion and maintain confidentiality.

  • Strong skills in short-term planning, analysis, problem-solving, and customer service.

  • At least 3 years of experience in health care administration and/or academic institution administration.
    Bachelor's degree in related area and/or equivalent experience/training.

Preferred Qualifications


  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and/or personnel management.

  • Solid knowledge of common University-specific computer application programs.

  • Thorough knowledge of financial analysis and reporting techniques, and/or human resources policies and procedures for staff and academic employees.
