St. Ann's Community is currently hiring a part time Community Administrative Coordinator in the Adult Day Services Home located on the Portland Campus. The primary purpose of your job is to plan and coordinate outreach programs and provides educational opportunities for adults and the geriatric population to increase awareness of St. Ann's Adult Day Services. To provide administrative assistance to the Director of Adult Day Services, including administrative support, office management and secretarial support.

Job Description:




  • * Participates in marketing events or outreach programs for St. Ann's Adult Day Services
    * Assists with creating Ads, attend and represent St. Ann's Community with Director of Adult Day Services at health fairs, expos, special community events and booth organization
    * Development of programs and outreach activities to meet Adult Day Service's goals
    * Researches Adult Day Service's educational needs, and evaluates the needs for those served, plans educational programs to enhance their capability to meet the needs of current and future adults and seniors
    * Serves as coordinator of educational resource for adults and the geriatric population
    * Participates in one/ more St. Ann's committee/s as assigned
    * Reports weekly upcoming outreach / educational opportunities
    * Assist with creating Ads for outreach programs, marketing and educational opportunities in collaboration with the Director of Adult Day Services and Marketing
    * Maintains computer data files for all Adult Day Services based on outreach programs/ marketing events and community events
    * Strong networking and enhance partnerships within the community
    * Attends and participates in workshops, seminars and in-services to continue professional growth
    * Participates in writing articles for the St Ann's Adult Day Services Newsletter
    * Under general direction, work from policies and objectives with little functional guidance. Maintain high quality performance due to sensitivity of information and need for confidentiality.

    * Perform secretarial duties for Director, nursing, social worker, recreational advocate, and diet technician in a timely and accurate manner. This includes, but is not limited to, mail retrieval and distribution, copying and distribution, answering phones, preparing correspondence, and letter generating.

    * Maintains appointment calendar for Director including coordination with outside agencies and vendors, family, staff, and other departments.

    * Sets up Adult Day Health Care (ADHC) charts in electronic record for admissions. Maintains physician renewal order and physical due date schedule as required by DOH. Schedules/coordinates outside medical appointments and uniform assessment (UAS) system's schedules.

    * Produces required DOH and billing documents including daily census, weekly batching, Intake and Admissions activity report, and monthly batching and reports compilation and disbursement for Home Connection.

    * Assists Director with special projects upon request including planning and coordinating special marketing events, Power Point presentations at national, state, and local conferences, mass mailings, layout and design of quarterly newsletter, and annual customer satisfaction survey.

    * Prepares for and assists the Director with regulatory documents required by the Department of Health, Child and Adult Care Food Program, and other agency contracts.

    * Arranges all travel reservations, accommodations, conference registrations and marketing events for the Director and staff and secures payment for these events.

    * Fosters customer satisfaction, including greeting visitors, participants, and conducting tours with the support ADS Social worker, dealing with complaints, working with outside agencies and vendors, and other departments.

    * Assists in the duties of the Transportation Coordinator in his/ her absence




Candidate Requirements:

* Associate degree (A.A.S) or equivalent from technical school.



  • Must have a sound knowledge of medical terminology and be able to type 45-60 words per minute.
  • Preferable bachelor's degree in marketing with at least two to three years' experience working with seniors and has community outreach experience or equivalent combination of education and/or experiences.
    * Proficiency in working with computers including Microsoft Word, Excel, Spreadsheet-email and calendar/ scheduling in Outlook and Power Point.
    * Self-directed to work independently, being an effective team player and communicator.
    * Strong verbal and written communication skills including public speaking.
    * Excellent interpersonal and organizational skills.
